Job Summary

We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors, clients, and team members. Your organizational skills and office management expertise will ensure smooth daily operations, creating a positive first impression for everyone who walks through our doors. This paid position offers an exciting opportunity to develop your administrative skills in a dynamic environment.

Duties

Greet visitors and clients warmly, ensuring a professional and friendly atmosphere at all times
Answer and direct incoming calls using multi-line phone systems with excellent phone etiquette
Manage appointment scheduling and calendar coordination for staff and executives
Perform data entry, filing, and maintain accurate records using Microsoft Office, Google Workspace, and other office software
Handle incoming and outgoing mail, packages, and deliveries efficiently
Support office management tasks such as supply inventory, proofreading documents, and organizing files
Assist with bookkeeping tasks using QuickBooks or similar accounting software when needed
Provide customer support by addressing inquiries promptly and professionally
Maintain a clean, organized front desk area to promote a welcoming environment

Experience

Previous office experience or clerical experience in a fast-paced environment is preferred
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
Experience managing multi-line phone systems and demonstrating excellent phone etiquette
Bilingual ability is a plus to effectively communicate with diverse clients and visitors
Familiarity with office management tasks such as calendar management, data entry, filing, and proofreading
Customer service experience that highlights professionalism and problem-solving skills
Knowledge of medical or dental receptionist duties is advantageous but not required
Personal assistant or administrative support experience can be beneficial in this role
