Full Job Description

Since its beginning in 1857, and with deep roots in Hilo, Hawaii, Carlsmith Ball LLP continues its tradition of providing top-notch legal services to a wide range of local, mainland, and international clients. As a multi-service law firm with offices located on Hawaii Island, Maui, and Oahu, we practice in a variety of areas including Real Estate and Land Use, Corporate and Business Formation, Tax and Estate Planning, and Civil Litigation.

We currently have a rare opportunity at our Hilo Office for a highly-skilled and experienced office administrative assistant interested in becoming a professional Legal Secretary that provides essential support to our legal team and valued clients.

Responsibilities include:

Assist with preparing, revising, and formatting legal documents and correspondences.
Assist with filing documents in various courts (circuit, district, land court, etc.).
Calendaring and reminding attorneys of events and deadlines.
Organizing and maintaining paper and electronic files utilizing document management system.
Performing various accounting and administrative tasks (e.g., entering timesheets, following up on client billing matters, scheduling appointments, processing mail, etc.)
Communicating with clients and others regarding administrative tasks by phone and email.

Minimum Qualifications:

Education: High School Diploma or equivalent.

Experience: Three (3) years administrative/secretarial experience (i.e., banking/teller experience, insurance adjuster/underwriting admin, escrow admin assistant, general office secretarial experience). Must type at least 55 wpm.

Skills:

Strong organization skills to manage multiple tasks and prioritize workload effectively to meet deadlines.
Excellent proofreading skills and attention to detail to ensure accuracy in legal documents and correspondence.
Computer literate - MS Word - Intermediate to Advanced skills; Outlook - Intermediate to Advanced skills; Excel - Basic to Intermediate skills. Willing to learn new applications.
Excellent verbal and written communication skills for professional client interactions.
Strong administrative and clerical skills to provide comprehensive support to attorneys.
Dependable with strong work ethic.
Able to work independently and collaboratively - self-starter with ability to multitask.
Preferred but not required: Knowledge of document management programs and experience in PowerPoint.
