Full Job Description

Job Overview

The Executive Assistant is responsible for the successful performance of the association administrative duties and assists in upholding the standards and policies of the association by providing superior presentation and customer service to owners, residents, contractors and staff in addition to providing front-line interaction for the successful day-to-day service to owners, contractors and staff.

Responsibilities

1. Responsible for keeping the channels of daily communication flowing smoothly between the Owner/Residents and/or contractors, and the Management Office by responding to inquires communicated by electronic mail, telephone, and walk-ins.

2. Responsible for preparing, processing and distributing various types of correspondence to the Board of Directors, Committee and Group members, Owners/Residents or their representatives and any other service agencies as needed.

3. Responsible for ordering and maintaining on-hand, an adequate inventory of required office supplies for the Management Office's daily operation.

4. Responsible for updating and administering the Owner's Resident's database and information binders for a 500+ community, and maintaining an adequate inventory.

5. Responsible for administering the facilities reservations folder and facilitating the use of the facilities and sponsored guests. This includes recording and processing all reservation requests, usage fee/damage deposits and inspecting the facility for cleanliness and order prior to and after each use.

6. Responsible for recording and assisting with administering petty cash spending/reimbursement.

7. Responsible for facilitating the production of the Association's newsletter and assistance with the website and other IT support.

8. Responsible for preparing and distributing the monthly Board meeting packet to Directors for information and review. Also responsible for preparing the meeting room for the Board Members, General Manager, and Homeowners prior to Board meetings.

9. Responsible for facilitating the receipt, recording, and distribution of Owner's construction plans submission to the Architectural Review Committee (ARC) for review. Also responsible for forwarding Owner's plans/design review fees to Management for processing and disseminating ARC correspondence or basic information to those Owners or architects as needed.

10. Responsible for implementing maintenance trouble calls to the gate contractor regarding any maintenance problems that occur to the gates and its operation.

11. Maintain a high degree of cleanliness and organization in the office.

12. Promote an environment of caring, camaraderie, family and teamwork through courtesy and cooperation.

13. Perform all reasonable requests by the Management Staff.
