Office Administrator

The Office Administrator is the operational backbone of the office, managing key financial, administrative, and customer-facing responsibilities. Working closely with leadership, sales, warehouse staff, and the outside accountant, this person brings accuracy, follow-through, and initiative to the daily, weekly, and monthly tasks that keep the business moving.

Job Type: Temp-to-Hire, Full-Time
Location: Fargo, ND
Shift: Monday – Friday, 8am – 5pm
Compensation: $21-$24/hour, DOE

Position Overview:

· Invoicing and Order Processing

· Accounts Receivable

· Online Sales - Inventory and Payment

· Accounts Payable

· Inventory - Receiving, Control, Updating

· Basic Accounting - Reconciliation, sales tax rates, etc.

· Payroll Preparation

· General Administrative - Maintain Records, Filings, Account Mgmt

· Order office supplies and janitorial supplies as needed

· File state business registrations and maintain registered agent status in all required states

· Manage employee insurance enrollment, changes, and renewals

· Assist walk-in wholesale and retail customers with orders, questions, and product information

Characteristics of a Successful Candidate:

· MUST: Associate's degree in business, accounting, or related field.

· MUST: Minimum 2 years of office administration, accounting, or bookkeeping experience.

· Working knowledge of QuickBooks Desktop Enterprise (General QuickBooks - transition to QuickBooks Desktop Enterprise).

· Familiarity with e-commerce platforms (Shopify experience a plus).

· Proficient with Microsoft Office (Excel, Word, Outlook) and general computer skills.

· Strong written and verbal communication skills, including phone presence.

· Detail-oriented with strong follow-through on recurring tasks and deadlines.

· Reliable attendance and punctuality.

· Prior experience in wholesale distribution, automotive, or trade industry.

· Experience with multi-carrier shipping platforms.

· Experience with sales tax filing across multiple states.

· Notary commission (or willingness to obtain).

· NOTE: Any offer of employment is contingent upon successfully passing a Background check
