Full Job Description

Job Overview
We are seeking a dynamic and highly organized Construction Office Administrator to join our team and support the smooth operation of our construction projects. This vital role combines administrative expertise with project coordination, ensuring that all office functions run efficiently and effectively. The ideal candidate will thrive in a fast-paced environment, demonstrating exceptional communication skills, technical proficiency, and a proactive approach to managing multiple responsibilities. Your energy and enthusiasm will help drive project success and foster positive relationships with clients, vendors, and team members alike.

Duties

Manage daily office operations, including filing, data entry, and maintaining organized records of project documentation
Coordinate schedules for project meetings, site visits, and team appointments using calendar management tools
Oversee vendor management activities, including communication, procurement, and invoice processing
Handle human resources functions such as onboarding new staff, managing payroll using QuickBooks or similar financial software, and supporting training & development initiatives
Assist with budgeting and bookkeeping tasks to track expenses, prepare financial reports, and ensure accurate record-keeping
Support event planning for company functions or client meetings to ensure seamless execution
Operate multi-line phone systems with professional phone etiquette while providing excellent customer service to clients and visitors
Maintain confidentiality when handling sensitive information related to projects, personnel, or financial data
Utilize Microsoft Office Suite (Word, Excel, Outlook) to prepare reports, spreadsheets, and correspondence efficiently
Provide front desk support by greeting visitors, managing incoming calls, and directing inquiries appropriately

Qualifications

Proven experience in office administration within construction or related industries; supervisory experience is a plus
Strong proficiency with accounting software such as QuickBooks and other financial tools
Excellent organizational skills with the ability to manage multiple priorities simultaneously
Demonstrated experience in vendor management, scheduling, and project coordination
Knowledge of bookkeeping, budgeting, payroll processing, and basic accounting principles
Familiarity with human resources processes including onboarding and training support
Proficiency in Microsoft Office applications and spreadsheet management for data analysis and reporting
Exceptional communication skills—both verbal and written—with a professional phone manner
Ability to handle confidential information discreetly and responsibly
Experience in event planning or medical office management is advantageous but not required
Strong team management skills combined with clerical experience in an office environment
