Job Summary

We are seeking a dynamic and highly organized Office Administrator to join our team! Responsibilities

Manage front desk operations, including greeting visitors and directing phone calls using multi-line phone systems with professionalism and courtesy.
Coordinate calendar management and scheduling for meetings, appointments, and events using productivity software such as Microsoft Office and Google Workspace.
Perform data entry tasks with accuracy utilizing spreadsheets, word processing, and other office management tools to maintain organized records.
Handle clerical duties such as filing, proofreading documents, and managing correspondence to ensure information is accurate and accessible.
Support bookkeeping activities including basic invoice processing and expense tracking using QuickBooks or similar accounting software.
Provide excellent customer service by assisting clients or patients at the front desk while maintaining phone etiquette and client communication standards.
Maintain office supplies inventory, organize files, and ensure the office environment is clean, safe, and efficient for all staff members.

Experience

Prior office experience with a strong background in administrative support roles such as receptionist or personal assistant.
Demonstrated proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
Experience with data entry, filing systems, and managing multi-line phone systems in a professional setting.
Bilingual abilities are highly desirable to effectively communicate with diverse clients or team members.
Knowledge of office management procedures including calendar management, document proofreading, and basic bookkeeping using QuickBooks or similar software.
Strong organizational skills with the ability to prioritize tasks efficiently while maintaining attention to detail.
Excellent communication skills—both verbal and written—along with professional phone etiquette and customer support experience.
