Full Job Description

Job Title: School Receptionist

Reports to: Director of Operations

Job Summary: This dynamic role combines high-level customer service, school safety oversight, and essential administrative operations.

Duties and Responsibilities

Oversight of School Reception

Cultivates and maintains a peaceful and welcoming atmosphere in the school’s reception and front office areas.
Welcomes visitors to the school and directs them to the appropriate person or office.
Fields phone calls to the school and channels callers to the appropriate person or office.
Answers general inquiries about the school.
Maintains supplies of campus maps, school marketing materials, and business cards and makes them available to visitors.
Purchases and maintains inventory of office supplies for the reception and front offices and operates within budget.
Attends team meetings, when requested, to ensure consistency in application of best practices.

School Attendance Monitoring

Record and manage daily attendance for all students.
Communicates with parents when students are absent.
Ensure ALL attendance has been documented.

Medical Office

Serves as the first point of contact for teachers when a student is sent to the Medical Office. Provides support to students who need basic medical care while consulting the school medical office staff for when appropriate.
Communicates with parents when a child needs to be picked up due to illness or injury.
Assist the Director of Operations with managing student medical information.

Operational Safety

Faithfully executes procedures for visitor and volunteer entry and exit from campus to ensure safety of campus perimeter and recommends improvements for visitor and volunteer entry and exit procedures.
Trains staff on the school’s check-in and check-out and visitor and guest procedures.
Ensures front office area is fully evacuated during emergency drills and emergency events.
Monitors key entry and exit security cameras and maintains video records of relevant incidents.

Other Support

Provides general administrative support to the Director of Operations.
Distributes mail and packages.
Supports academy and public events, including set up and tear down, when requested.
Maintains School Store and Uniform Swap Room.
Performs other duties and projects as assigned.

Prerequisite Skills and Expertise

Highest standards of integrity, sound judgment, confidentiality, and reliability.
Strong interpersonal, relational, communication, and management skills.
Customer-service disposition.
Ability to manage time effectively and to maintain a tidy and organized reception area.
Proficiency with software applications, including MS Office suite and other relevant systems.
Proficiency with federal and state safety guidelines applicable to private schools.
Excellent organizational and time management skills.

Education and Professional Experience

Extensive and diversified background in customer service and/or business operations with at least two years of related experience.
Bachelor’s degree preferred.
