Full Job Description

Job Summary
We are seeking an experienced and highly organized Office Manager to oversee daily operations and ensure the smooth functioning of our office environment. The ideal candidate will possess strong administrative, supervisory, and communication skills, with a background in office management, bookkeeping, and human resources. This role involves managing schedules, vendor relationships, and team development to support our organizational goals. The Office Manager will be pivotal in maintaining an efficient workplace while fostering a professional and welcoming atmosphere.

Job Duties Include:

· Assisting employees who come in to the office

· Filling out on hire paperwork with new employees

· Answering and forwarding phone calls

· Printing and collecting all invoices from vendors and getting them to accounts payable

· Filing paid bills

· Collecting timesheets weekly and turning them into accounting

· Sorting and distributing paperwork, insurance forms, and mail

· Keeps organized records of all vehicles (including maintenance needs), login/passwords,

· Maintains employee files and scans documents into our cloud database

· Handles NTO and lien releases for projects

· Maximizes office organization to maximize flow and max-out environment for highest employee output

· Works on special projects as assigned

. Quickbooks data entry possible

Requirements:

· Construction experience (Preferred)

· Must be a notary

· Strong work ethic and team leadership skills

· Must be cooperative, organized, and systematic in work with an attention for details and high degree of confidentiality

· Must have the ability to be clear and precise when communicating

· Ability to interface with all levels within the organization and external parties

· Microsoft Excel/Microsoft Word: 1 year (Preferred)

Skills

Proven experience in office management or administrative roles with clerical and organizational expertise
Strong supervisory experience with team management capabilities
Proficiency in QuickBooks, calendar management tools, and multi-line phone systems
Excellent communication skills with professional phone etiquette
Skilled in event planning, vendor management, budgeting, bookkeeping, and payroll processing
Ability to handle human resources functions including training & development and employee relations
Exceptional organizational skills with attention to detail in filing and recordkeeping
Experience in medical office management is a plus but not required
Demonstrated ability to manage schedules efficiently and prioritize tasks effectively
Strong interpersonal skills to foster teamwork and a positive office environment

Pay: $20.00 - $29.45 per hour
