Full Job Description

Office Assistant & Receptionist

We're looking for a reliable, organized, and personable team member to join our front office team. This role blends front desk reception with hands-on office support — filing, document management, and local errands and logistics, including trips to the courthouse for our attorneys.

You'll be a steady presence at our front desk, greeting clients and managing calls, while also working to keep documents, filings, and errands moving for the firm.

What You'll Do:

Greet clients warmly and professionally, and help manage front desk coverage.
Answer and direct phone calls, and schedule appointments using our online scheduling platform.
Travel to courthouses, opposing counsel's offices, and other locations to file documents, serve papers, or handle pickups/drop-offs for attorneys.
Manage office supplies, including tracking inventory and placing orders as needed.
Scan, file, and organize documents using our legal practice management software and cloud-based storage systems.
Communicate clearly and professionally with clients, attorneys, and staff via phone, email, and instant messaging.
Stay current on new software and tools as our tech stack evolves.
Ensure accuracy, discretion, and professionalism in all client and document handling.

What We're Looking For:

Minimum 1 year of experience in an administrative, office assistant, or receptionist role.
Valid driver's license, reliable transportation, and comfort navigating court and government offices.
Strong organizational skills and meticulous attention to detail.
Positive, professional demeanor with a client-service mindset.
Excellent written and verbal communication skills.
Comfortable with Microsoft Office Suite (Teams, Word, OneDrive, Outlook) and willing to learn practice management software.
Ability to manage time and switch smoothly between front-desk and field responsibilities.
Comfortable in a fast-paced, multi-location environment.

Bonus Points For:

Experience with legal terminology, e-filing, or court procedures.
Familiarity with legal practice management software and online booking systems.
