Full Job Description

Job Description – SPA RECEPTIONIST

Job Title: Receptionist

Department: Caudle Center

A. Summary

Provides professional customer service by receiving and registering patients in a courteous and friendly manner and obtaining and verifying necessary demographic, and referral source. Maintains providers’ schedules to ensure adequate patient flow and the delivery of quality patient care.

B. Reporting Relationship

The Receptionist reports directly to the Office Manager.

C. Duties & Essential Job Functions

1. Follows opening and closing procedures according to office guidelines.

a. Opening procedures as appropriate:

i. Boot up computers and notify the office manager if there are any problems or errors with the schedule or facility as soon as possible.

ii. Unlock front door.

iii. Make sure lobby is clean and tidy

iv. Make sure restroom is clean and stocked.

b. Closing procedures as appropriate.

i. Make sure lobby is clean and tidy at all times

ii. Make sure restroom is clean and stocked

iii. Turn off computer, Turn off sound system, Lock front & back doors, & Set alarm.

2. Greets patients/visitors in polite, prompt, helpful manner and provides any necessary instructions/directions. Informs clinical staff of patient arrivals.

3. Interacts with all staff, clientele, and patients in a in polite, prompt, helpful manner and provides any necessary instructions/directions.

4. Check internet voicemails and faxes and make disposition.

5. Answer all calls, return calls (& document), and respond to all voicemails before leaving for the day.

6. Reschedule or Return calls to patients from Voicemail in a prompt and courteous helpful fashion within 1 hour.

7. Make sure all paperwork is printed for all patients for the day. Consents and information on clipboard with pen and name with patient information in file folder and placed in wire rack.

8. After Patient Checks in, give clipboard / paperwork and pen to patient. Place file folder in chart rack outside patient room.

9. After checking out patient, Scan all paperwork and upload into EHR.

10. Print all patient paperwork and organize in file rack for next day. On Friday, print paperwork for Monday.

11. Call and Confirm appointments for next day if not confirmed in the system.

12. If phone rings while you are checking a patient in or out, let it go to Voicemail. Patient in front of you is priority. But, check voicemail ASAP and return call immediately.

13. Answer all phone calls by 2nd ring if possible.

14. Clean and organize front desk before leaving at the end of the day.

15. Before leaving for the day, make sure all non-critical phone / email messages have been distributed to providers.

16. Notify and confirm that providers have received all important or critical messages, calls, etc.

17. CareCredit & Cherry Financing: Manager can arrange for patients payment / financing.

18. Learn Rewards Programs:

Alle: Products by Allergan, (Ex. Latisse, Botox and Juvederm Fillers)

19. Obtains and enters new patient demographics with particular emphasis on Full correct spelling of First Middle and Last Name with phone, address, email, DOB, referral source, etc.; updates patient information, as necessary, in the computer system(s) to maintain accuracy.

20. Collects all co-pays and balances, as required by office policies.

21. Enters all Payments (co pays, balances etc.) daily into the EHR.

22. Reviews all forms for accuracy and completion according to office policies prior to accepting.

23. Documents all no-show/cancelled/rescheduled appointments in EHR.

24. Have every patient / client complete, sign, and date Privacy / HIPAA Acknowledgement forms, Collection policy, No Show / Cancellation Policy, etc.

25. Attends staff meetings as required.

26. Follow all the policies and procedures in the Employee manual.

27. Maintains strictest confidentiality; adheres to all HIPAA guidelines/regulations.

28. Perform any reasonable work request by office manager / provider.

29. Must be knowledgeable in all aspects applicable to position in EHR including scheduling, insurance, and payment section.

D. Education & Experience:

High school diploma or GED required.

Data entry and computer skills required.

Knowledge of medical terminology preferred.

Knowledge of CPT & ICD-9 codes and billing is beneficial.

Minimum of one-year work experience in medical office / spa setting preferred.

Must have good communication and organization skills and be detail oriented.

E. Environmental/Working Conditions:

Work is performed in an office environment. Work may be stressful at times due to a busy office. Interaction with others is constant and interruptive.

F. Physical Demands:

Work may require hand dexterity for telephone and office machine operation. There may be excessive standing while working at the check-in counter. Job may be occasional lifting of supplies up to 20 lbs.
