Administrative & Operations Coordinator

Reports To: Director of Operations

Status: Full-Time, Non-Exempt

Location: Edna W. Runner Education Center – Jupiter, Florida (On-Site)

Position Summary

The Administrative & Operations Coordinator is a key member of the administrative team, providing comprehensive operational and administrative support for the Edna W. Runner Education Center's K–5 private school and youth development programs, including after-school, tutorial, and summer camp services.

This position serves as a primary point of contact for families, staff, and community partners while supporting daily school operations, financial administration, grant documentation, data management, and organizational compliance. The ideal candidate is bilingual (English/Spanish), highly organized, detail-oriented, customer-focused, and committed to delivering exceptional service in a mission-driven educational environment.

The mission of the Edna W. Runner Education Center is to provide a safe and nurturing environment for at-risk students and their families so they may pursue academic and personal excellence.

Through educational programming, family support services, and community partnerships, we are committed to strengthening children, families, and our community.

Essential Duties and ResponsibilitiesAdministrative Operations (K–5 School)

Support the daily administrative operations of the K–5 private school.
Maintain a professional, welcoming, and efficient front office environment for students, families, staff, and visitors.
Serve as the primary point of contact for K–5 school families, responding to inquiries in person, by telephone, and through email.
Assist families with student enrollment, registration, admissions documentation, and school-related information.
Prepare correspondence, reports, forms, student records, and other administrative documents related to school operations.
Maintain organized filing systems and confidential student records in compliance with school policies and applicable regulations.
Monitor student attendance, enrollment, and other required school data, preparing reports as requested.
Support front office operations by providing reception coverage and assuming Administrative Assistant responsibilities during absences.
Coordinate office supplies, instructional materials, and administrative resources to support the daily operations of the K–5 school.

School & Program Support

Provide administrative support to the Director of Education, Director of Programs, and Director of Operations & Finance.
Support the administrative needs of the Center's after-school, tutorial, and summer camp programs.
Assist with scheduling meetings, conferences, trainings, and organizational events.
Support communication between families, teachers, program staff, and community partners.
Assist with student registration, orientation, and program-related documentation.
Coordinate special projects and organizational initiatives as assigned.

Finance & Administrative Support

Provide accounting support through accurate financial data entry and record maintenance.
Prepare and maintain spreadsheets and reports using Microsoft Excel.
Assist with budget preparation by organizing financial and operational data.
Support invoice processing, purchase tracking, and other administrative financial functions.
Maintain accurate financial records while ensuring confidentiality and compliance with organizational procedures.

Grants & Compliance Support

Maintain documentation required for grants, contracts, and government-funded programs.
Assist with data collection, and recordkeeping to support grant compliance.
Coordinate administrative documentation for audits, grant reporting, and funding requirements.

General Responsibilities

Maintain confidentiality of student, family, financial, and personnel information.
Provide exceptional customer service while fostering positive relationships with families, staff, volunteers, and community partners.
Promote a collaborative, professional, and mission-focused work environment.
Attend required staff meetings, trainings, and professional development activities.
Perform other duties as assigned to support the overall operations of the organization.

Qualifications Required

Bilingual in English and Spanish (spoken and written).
High school diploma or GED required; Associate's degree preferred.
Minimum of three (3) years of progressively responsible administrative, office management, or administrative coordination experience.
Experience working in a nonprofit organization, educational institution, school, or youth-serving organization preferred.
Basic understanding of accounting principles and financial data entry.
Experience maintaining confidential records and preparing administrative reports.
Strong proficiency with Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and office technology.
Experience using databases, student information systems, CRM platforms, or accounting software.
Excellent organizational, time management, and multitasking skills.
Strong written and verbal communication skills.
Ability to exercise discretion and maintain confidentiality.
Ability to manage multiple priorities while meeting deadlines in a fast-paced environment.

Preferred

Associate's degree in Business Administration, Office Administration, Education, or a related field.
Experience supporting grant-funded programs or maintaining grant compliance documentation.
Familiarity with state and federally funded educational or nonprofit programs.
Experience with student information systems, accounting software, or nonprofit database management.
Knowledge of Florida Department of Education or school administrative procedures.

Physical Requirements

Ability to sit, stand, walk, bend, and occasionally lift up to 25 pounds.
Ability to operate standard office equipment, including computers, telephones, copiers, and printers.
Ability to move throughout the campus to support school operations, meetings, and organizational activities.
