Full Job Description

The ideal candidate is a collaborative professional who thrives in a mission-driven environment, exercises sound judgment, manages multiple priorities with ease, and enjoys building strong relationships.

Essential Responsibilities:

Office Administration

· Manage the daily operations of the Foundation office while maintaining a welcoming and professional environment.

· Serve as the primary point of contact for donors, volunteers, nonprofit partners, vendors, Admirals Cove management and staff, and visitors.

· Manage office systems, Foundation email, supplies, equipment, files, and vendor relationships.

· Maintain efficient administrative procedures and accurate organizational records.

Executive Director & Board Support

· Provide high-level administrative support to the Executive Director.

· Coordinate Board and committee meetings, including agendas, meeting materials, minutes, meeting logistics, and follow-up.

· Maintain Board records, governance files, calendars, and committee documentation.

· Support strategic initiatives and special projects as assigned.

Grant Administration

· Coordinate the Foundation's grant administration process using Foundant Grant Lifecycle Manager (GLM).

· Serve as a resource for nonprofit applicants throughout the grant cycle.

· Maintain grant records, reporting schedules, and supporting documentation.

· Support allocation committees and prepare reports and meeting materials.

Foundation Events & Community Engagement

· Lead the coordination and execution of Foundation fundraising and community events.

· Develop event timelines and coordinate logistics, registrations, vendors, volunteers, and event communications.

· Support donor stewardship activities before, during, and after Foundation events.·

Work collaboratively with the Executive Director, Board members, and volunteers to ensure successful events.

Donor Relations & Communications

· Maintain accurate donor, volunteer, and nonprofit databases.

· Coordinate acknowledgments, correspondence, and donor communications.

· Assist with newsletters, website updates, social media, presentations, and other Foundation communications.

· Foster positive relationships with donors, volunteers, nonprofit organizations, and community partners.

Financial & Administrative Support

· Process invoices, prepare bank deposits, and maintain administrative financial records.

· Safeguard confidential donor and Foundation information.

· Assist with budget tracking and administrative reporting.

Qualifications

· Bachelor's degree preferred.

· Five or more years of experience in office management, nonprofit administration, development, fundraising, event coordination, or a related professional role.

· Demonstrated experience coordinating meetings, projects, and special events.

· Outstanding organizational and project management skills.

· Demonstrated ability to exercise sound judgment, diplomacy, and professionalism while working with diverse constituencies and confidential information.

· Exceptional interpersonal skills with a proven ability to build trust and collaborative relationships with donors, volunteers, Board members, nonprofit leaders, Admirals Cove management and staff, and community partners.

· Excellent written, verbal, and presentation skills, with the ability to professionally represent the Foundation at Board meetings, donor events, community functions, and other public gatherings.

· Ability to manage multiple priorities with professionalism, discretion, and confidentiality.

· Strong technology skills, including proficiency in Microsoft Office and WordPress with the ability to quickly learn new software platforms; experience with Foundant, GiveButter, Little Green Light or similar CRM/grant management software preferred.

Physical Requirements

· Ability to sit or stand for extended periods.

Pay: $70,000.00 - $80,000.00 per year
