At JJ MAC Enterprises dba Steamatic of Kansas City, we help our community rebuild after the unexpected. We specialize in emergency property restoration (water, fire, mold, and storm damage), turning chaos into calm for families and businesses. We are a fast-paced, team-oriented company looking for an organized, detail-oriented Project Coordinator / Office Assistant who understands the mechanics of insurance-driven restoration workflows.

Job Summary

As a Project Coordinator / Office Assistant, you will be the bridge between our field technicians, project managers, homeowners, and insurance networks. You will manage the administrative lifecycle of our restoration projects, ensuring all jobs are dispatched quickly, documented flawlessly, and compliant with our TPA (Third-Party Administrator) program requirements.

Key Responsibilities

TPA & Compliance Management:

Manage and monitor incoming jobs through TPA platforms including Alacrity and Westhill Global.
Ensure strict adherence to TPA compliance timelines, including acknowledging new assignments, uploading contact notes, and inputting updates within required windows.
Review digital job files to ensure all required documentation (photos, drying logs, certificates of satisfaction) is complete before submission.

Estimating Support & Data Management:

Assist Project Managers with uploading, organizing, and transmitting line-item estimates via Xactimate and the Verisk ecosystem.
Maintain accurate, real-time data entry across all internal project management tracking systems and external insurance portals.
Communicate with insurance adjusters and TPA reviewers to clarify documentation, address exceptions, and push approvals forward.

Office & Scheduling Coordination:

Act as the primary point of contact for incoming emergency restoration calls, dispatching technicians efficiently.
Coordinate calendars for Project Managers and field staff to optimize daily schedules.
Provide empathetic, professional customer service to homeowners navigating property damage.
Handle general office tasks such as managing correspondence, processing initial job intake invoices, and ordering supplies.

Requirements & Qualifications

Reliability: Consistent, predictable, and reliable attendance is a strict requirement for this position. Because this role handles time-sensitive TPA insurance deadlines and immediate emergency dispatching, daily dependability is vital to our operation.
Experience: 1–5 years of experience in project coordination, restoration administration, or insurance claims.
Industry Knowledge: Prior experience in the property restoration, construction, or insurance property adjusting field is highly preferred.
Software Proficiency: Direct experience or familiarity with Xactimate, Verisk platforms, Alacrity, and/or Westhill Global is a massive advantage.
Skills: Exceptional attention to detail (missing a single photo or compliance check matters in this role). Strong multitasking abilities and a knack for problem-solving in a fast-paced environment.
Communication: Strong verbal and written communication skills with a high level of empathy for clients experiencing a crisis.
Pass a drug test

Pay: From $20.00 per hour
