Position Overview
The Assistant Controller is responsible for managing financial reporting, payroll operations, budgeting, compliance, and process improvements across multiple business units. The ideal candidate has a strong accounting background, leadership experience, and a strategic mindset to drive financial excellence.
This role requires a CPA certification and experience in multi-entity financial management, payroll compliance, and process automation. The Assistant Controller will supervise accounting staff, improve internal controls, and provide key financial insights to support executive decision-making.
Key Responsibilities
Financial Reporting & Compliance
- Oversee monthly, quarterly, and annual financial statements, ensuring compliance with GAAP and industry regulations.
- Manage financial audits, liaising with external auditors to ensure accuracy and transparency.
- Ensure tax compliance, including sales tax, payroll tax, and other regulatory filings.
- Maintain internal controls, identifying and mitigating financial risks.
- Work with the Controller to develop financial policies, procedures, and reporting structures.
Payroll & HR Compliance
- Oversee payroll processing for W-2 employees and contractors, ensuring accurate calculations and timely payments.
- Manage multi-location payroll tax compliance, ensuring adherence to federal and state laws.
- Approve and oversee 401(k) contributions, workers' compensation audits, and employee benefits administration.
- Manage HR to ensure seamless employee onboarding, benefits enrollment, and records management.
Budgeting & Cost Management
- Assist in developing annual budgets, forecasts, and cost analyses to optimize financial performance.
- Track operational expenses and prepare financial reports for ownership and executive leadership.
- Identify cost-saving opportunities, ensuring efficient resource allocation.
Process Optimization & Technology Implementation
- Lead AI automation initiatives to improve accounting accuracy and efficiency (e.g., Paylocity, ERP software, financial dashboards).
- Implement and optimize Airtable systems for tracking financial performance and payroll processes.
- Ensure data integrity and security for payroll and accounting records.
Vendor & Supply Chain Financial Management
- Manage vendor relationships, ensuring cost-effective procurement and financial efficiency.
- Oversee inventory cost tracking, material purchases, and supplier negotiations.
- Perform vendor audits to ensure service compliance and accurate billing.
Leadership & Cross-Departmental Collaboration
- Supervise and mentor accounting and payroll staff, ensuring professional development and performance excellence.
- Work closely with Operations, Sales, and Production teams to align financial goals with business strategy.
- Lead weekly finance meetings, providing insights and action plans for cost control and revenue growth.
Qualifications & Skills
Required:
- CPA certification (active or in progress).
- 5+ years of accounting and payroll experience, preferably in manufacturing, construction, or high-end design.
- Strong knowledge of GAAP, tax laws, multi-entity accounting, and payroll compliance.
- Experience with financial reporting, budgeting, and internal controls.
- Advanced Excel skills and experience with payroll/accounting software (e.g., QuickBooks, NetSuite, Paylocity).
- Leadership experience, with the ability to mentor staff and collaborate cross-functionally.
- Strong analytical and problem-solving skills with a focus on process improvement.
- Exceptional communication skills (both written and verbal).
Preferred:
- Experience in a multi-location, multi-entity business structure.
- Familiarity with ERP systems, Airtable, and workflow automation tools.
- Background in luxury goods, construction, or architectural manufacturing.

Pay: $80,000.00 - $125,000.00 per year
