Required Qualifications

High School Diploma or GED
Minimum three years of administrative assistant, office administration, or office coordination experience
Proficiency with Microsoft Word, Excel, Outlook, PowerPoint, and Adobe Acrobat
Strong organizational, scheduling, and multitasking skills
Excellent written and verbal communication skills
Strong attention to detail and commitment to accurate work
Ability to organize files, records, reports, and project documentation
Ability to work independently and manage changing priorities
Professional demeanor and strong customer-service skills
Valid Driver's License with an acceptable driving record
Authorization to work in the United States
Ability to pass pre-employment background screening and drug testing

Experience supporting a construction, telecommunications, utility, engineering, or field-service organization
Experience supporting Project Managers, Construction Managers, operations teams, or executives
QuickBooks experience
FileMaker or database-management experience
Experience with project-tracking or construction-management systems
Experience assisting with onboarding and employee documentation
Associate degree in Business Administration or a related field
Bilingual English and Spanish

Position Summary

The Administrative Coordinator provides administrative and operational support to help ensure the efficient operation of TACI's office and construction teams.

The position supports multiple departments and responsibilities, including meeting coordination, project documentation, data entry, office organization, employee onboarding, recordkeeping, customer and vendor communication, reporting, purchasing, and general administrative support.

The successful candidate will be organized, dependable, resourceful, and comfortable working with office personnel, field employees, customers, vendors, project managers, and company leadership.

Primary Responsibilities

Office and Administrative Support

Provide daily administrative support to management, operations, and project teams
Answer incoming telephone calls and direct inquiries professionally
Welcome and assist visitors, customers, vendors, and employees
Schedule meetings, interviews, training sessions, and company events
Prepare correspondence, reports, presentations, spreadsheets, and project documents
File, scan, copy, organize, and maintain company records
Maintain office filing systems and document-control processes
Assist with calendars, meeting preparation, and follow-up activities
Respond to questions and information requests accurately and professionally
Perform additional administrative duties as assigned

Construction and Operations Support

Support Project Managers, Construction Managers, recruiting personnel, and operations leadership
Maintain project documents, employee records, and internal tracking systems
Assist with data entry, production reporting, spreadsheets, and project files
Collect and organize information from field and office teams
Help prepare customer reports, internal updates, and leadership presentations
Assist with work orders, project records, closeout documents, and related administrative tasks
Track outstanding documents, assignments, and required follow-up items
Help ensure project and operational records remain complete, current, and accessible

Onboarding and Employee Support

Assist with onboarding documents and new-hire paperwork
Schedule interviews, orientation activities, and required training
Maintain organized and confidential employee documentation
Communicate with employees regarding missing forms, appointments, and administrative requirements
Coordinate with recruiting, human resources, safety, and operations as needed
Provide employees with timely and professional administrative support

Office, Supply, and Equipment Coordination

Monitor office supplies and maintain appropriate inventory levels
Place and track orders for supplies, equipment, and office materials
Coordinate shipping, deliveries, and office logistics
Maintain equipment inventories and service records
Coordinate equipment repairs and preventative maintenance
Evaluate office needs and recommend improvements to administrative processes
Maintain a clean, organized, and professional office environment

Customer, Vendor, and Team Communication

Serve as a professional point of contact for customers, vendors, visitors, and employees
Provide responsive customer service by telephone, email, and in person
Coordinate communication and information between departments
Communicate with vendors regarding orders, deliveries, invoices, and service requests
Support company meetings, employee events, and training activities
Handle sensitive or confidential information with appropriate discretion
Escalate important issues to the appropriate manager or department

Physical Requirements

Ability to sit, stand, and use a computer for extended periods
Ability to communicate regularly by telephone, email, and in person
Ability to perform repetitive keyboarding, filing, scanning, and document-handling tasks
Ability to occasionally lift and carry up to 25 pounds
Ability to move throughout a professional office environment
Ability to manage multiple priorities in a fast-paced workplace
Ability to occasionally visit or support construction and field-operation environments when necessary
