Job Summary

We are seeking a dynamic and detail-oriented Medical Receptionist to join our healthcare team! In this vital role, you will serve as the first point of contact for patients and visitors, ensuring a welcoming environment while managing a wide range of administrative and clinical support tasks. Your energetic approach and excellent communication skills will help streamline clinic operations, facilitate patient care, and uphold the highest standards of confidentiality and professionalism. This position offers an exciting opportunity to contribute to quality healthcare delivery in a fast-paced, patient-focused setting.

Duties

Greet patients warmly upon arrival, verify appointment details, and assist with check-in procedures using Electronic Health Record (EHR) systems such as Epic, Meditech, Athenahealth, or eClinicalWorks
Schedule patient appointments efficiently, coordinate follow-up visits, and manage clinic calendars with precision
Collect and process medical payments, insurance co-pays, and outstanding balances utilizing medical billing and coding knowledge including CPT coding, ICD-9, ICD-10, and Medicare guidelines
Review medical documentation for accuracy and completeness while maintaining strict adherence to HIPAA regulations and clinical confidentiality policies
Manage incoming phone calls with professional phone etiquette; provide information about clinic services or direct calls appropriately
Maintain accurate medical records by filing documents electronically or physically; update patient information in EMR/EHR systems
Assist with insurance verification, pre-authorizations, and claims processing to ensure smooth reimbursement workflows
Support clinical staff by preparing care plans documentation and assisting with administrative tasks related to patient care management
Perform general clerical duties such as data entry (including 10 key typing), faxing, scanning documents, and managing office supplies in a busy medical office environment

Skills

Extensive experience with EMR/EHR systems including Epic, Meditech, Athenahealth, eClinicalWorks or similar platforms
Strong knowledge of health insurance procedures including Medicare, Medicaid, private insurance plans, and health information management regulations
Proficiency in medical coding (CPT, ICD-9/10) and billing processes to facilitate accurate documentation review and revenue cycle management
Excellent customer service skills with the ability to communicate effectively via phone and in person; bilingual abilities are a plus
Demonstrated clinic experience or medical office experience supporting front desk operations in healthcare settings such as dental clinics or outpatient clinics
Familiarity with clinical confidentiality policies and HIPAA compliance standards to safeguard patient information at all times
Competence in Microsoft Office Suite (Word, Excel) for documentation purposes; strong typing skills including 10 key data entry capability
Ability to handle multiple priorities efficiently while maintaining attention to detail in a fast-paced environment
Knowledge of health insurance verification processes and medical billing practices to support revenue cycle activities
Strong organizational skills for managing medical records filing systems—both electronic and paper-based—and ensuring accurate documentation review
