Full Job Description

Job Overview

We are seeking a versatile and organized Office Administrator Coordinator to join our team at our headquarters in Louisville, CO. This multi-faceted role serves as the central hub of our daily operations. You will manage our front desk, handle critical delivery and shipment paperwork, process customer invoicing, key assist with foundational HR duties, and act as the primary point of contact for our driving team. The ideal candidate thrives in a fast-paced food production environment and possesses strong communication and multitasking skills.

Responsibilities

Key Responsibilities

Order Management & Customer Service

Call established customer accounts weekly to collect and confirm their product orders.
Receive, review, and process incoming wholesale purchase orders, phone orders, email, and EDI (Electronic Data Interchange).
Oversee and efficiently handle all incoming order requests to ensure timely fulfillment.

Logistics & Driver Liaison

Act as the primary dispatcher and daily liaison for our delivery drivers.
Set up and communicate driver door times, route changes, delivery windows, and scheduling updates to drivers.
Prepare and organize driver delivery packets.

Invoicing & Financial Support

Generate accurate customer invoices utilizing QuickBooks.
Reconcile driver paperwork against billing systems to ensure precision.

Human Resources Assistance

Assist with basic HR duties
Employee insurance
Onboarding staff
Personnel resource

Front Desk & Administration

Greet visitors, inspectors, and clients with a professional and welcoming demeanor.
Answer incoming phone calls, route inquiries, and manage front office traffic.
Manage office supplies and maintain a clean, organized front reception space.

Qualifications & Skills

Experience: 2+ years of experience in office administration, customer service, or logistics support. Experience in food distribution or manufacturing is highly preferred.
Software: Must be proficient with QuickBooks and the Office 365 suite (Excel, Word, Outlook).
Communication: Exceptional verbal and written communication skills for order collection, driver dispatching, and client interaction.
Organization: Strong ability to prioritize tasks, meet tight delivery deadlines, and manage paperwork.
