Full Job Description

Job Overview
The Director of Operations at Scout Real Estate Co. is responsible for overseeing the day-to-day operations of the brokerage, ensuring efficiency, organization, and compliance across all departments. This role provides high-level support to company leadership, manages transaction flow, and serves as a central point of coordination for agents, vendors, and internal systems. The ideal candidate is highly organized, detail-oriented, and experienced in managing multiple moving parts in a fast-paced professional environment.

Job Specific Duties

Brokerage Operations:

Oversee all aspects of listings, including new, active, expiring, and expired listings, ensuring compliance with MLS and LREC rules and regulations.
Manage status changes, closings, and the accurate filing of all transaction-related documentation.
Maintain and update pending reports, including tracking escrow deposits.
Review closing files for accuracy, calculate commission splits and fees, and coordinate with accounting for disbursements.
Assist in oversight of accounts payable and financials prior to final approval.
Coordinate regular agent check-ins and production reviews as needed.

Partner Support:

Provide ongoing support to leadership with day-to-day operations, projects, and priorities.
Draft and manage purchase agreements, letters of intent (LOIs), listing proposals, and other transaction-related documents.
Conduct research including sales comparables, property data, and market insights.
Assist with listing inventory and pipeline management.
Support client communications, property searches, and general deal flow from listing to closing.

General Operations & Coordination:

Handle a variety of administrative and operational tasks to support overall business functions.
Coordinate with third-party vendors and service providers as needed.
Maintain organization and efficiency across internal processes and workflows.

Systems & Technology:

Manage and maintain monday.com across all departments, ensuring organization, accuracy, and functionality.
Coordinate with Purple Plum for system buildouts, improvements, and ongoing support.
Liaise with IT providers (Accolades IT and FYI Tech Pro) for any technical needs or issues.

Human Resources:

Oversee recruitment efforts including job postings, candidate review, and onboarding processes.
Manage new hire setup including licensing (LREC), MLS/LACDB access, email setup, and payroll coordination.
Ensure all new agents and staff are properly onboarded and integrated into company systems and processes.

Qualifications

Proven experience in operations management with a strong background in strategic planning and leadership roles.
Strong skills in business development, process optimization, budgeting, and financial forecasting.
Extensive professional office or operations experience required (real estate experience preferred).
Strong organizational and multitasking abilities.
Excellent written and verbal communication skills.
Ability to manage confidential information with discretion.
Proficiency in transaction management systems, CRM platforms, and general office technology.

Pay: $50,000.00 - $60,000.00 per year
