We're looking for a Purchasing & Inventory Coordinator to support our Purchasing Department through vendor communication, inventory planning, purchase order management, and supply chain coordination. This role is primarily office-based and requires strong computer, Excel, and organizational skills, with occasional warehouse responsibilities related to receiving and inventory management.
Position Summary
The Purchasing & Inventory Coordinator is responsible for maintaining appropriate inventory levels of parts and supplies to support our customers and service technicians. This position manages vendor relationships, inventory ordering, purchase orders, receiving shipments, inventory analysis, warranty claims, and inventory accuracy.
This role plays a key part in keeping our technicians equipped with the supplies they need while helping the company control costs, maintain vendor relationships, and improve inventory efficiency.
Key Responsibilities
- Manage vendor relationships and communicate regularly regarding pricing, product availability, backorders, and delivery schedules.
- Create, place, receive, and monitor purchase orders with vendors.
- Obtain quotes, compare pricing, and identify cost-saving opportunities.
- Research pricing, freight costs, and alternative sourcing options when appropriate.
- Monitor inventory trends and recommend purchasing decisions based on usage and demand.
- Analyze inventory reports using Excel and company software to maintain optimal stock levels.
- Order inventory while maintaining appropriate minimum and maximum stocking levels.
- Monitor backorders, shipping dates, and vendor delivery timelines.
- Receive shipments, inspect for damage, and document discrepancies.
- Maintain accurate inventory through cycle counts and inventory audits.
- Process warranty claims for parts and supplies and monitor claim status.
- Process shipping damage claims with vendors and freight carriers.
- Ship toner and other customer supply orders.
- Maintain an organized receiving and warehouse area.
- Assist in securing the warehouse and receiving areas at the end of the day.
- Work closely with the Purchasing, Service, and Sales teams to support daily operations.

Qualifications & Experience
Required
- High School Diploma or GED.
- 2+ years of inventory, purchasing support, receiving, retail inventory, supply chain, or related experience.
- 2+ years of Microsoft Office experience.
- Experience using internet-based ordering systems.
- Strong organizational and communication skills.
- High attention to detail.
Preferred
- Experience working directly with vendors and suppliers.
- Experience obtaining quotes and comparing pricing.
- Experience negotiating product pricing, freight costs, or vendor terms.
- Intermediate Excel skills, including sorting, filtering, formulas, and spreadsheet management.
- Forklift experience.
- Experience with inventory management.
- Experience with e-Automate software.
- Experience working in a distribution, warehouse, or service support environment.

Physical Requirements
This position requires the ability to:
- Lift, carry, push, or move materials weighing 45 pounds or more.
- Stand and walk for extended periods.
- Bend, stoop, kneel, crawl, climb, and reach overhead.
- Perform repetitive hand and finger movements for typing, writing, and handling inventory.
- Read computer screens, inventory labels, color coding, and fine print.
- Operate a motor vehicle safely.
- Communicate effectively with coworkers, vendors, and customers.
