Job Title: Finance Director (Full-time, Exempt)

Reports to: Executive Director

Pay Range: $75,000-$90,000 annually

Job Summary:

CAPTAIN CHS seeks a collaborative, detail-oriented Finance Director to lead the financial management of an approximately $5 million nonprofit human-services organization. Reporting to the Executive Director and leading a two-person Finance Department, the Finance Director combines strategic financial leadership with hands-on oversight of accounting, government contracts and grants, compliance, reporting, and selected operational accounting activities.

The successful candidate will translate financial information into practical guidance for organizational leaders, program teams, the Finance Committee, and the Board. Because the department is small, the Director will participate directly in higher-level accounting and review work while assigning transaction processing to preserve appropriate segregation of duties.

Duties and Responsibilities:

Financial Leadership, Planning, and Analysis:

Serve as senior financial leader and a member of the senior management team, advising on financial condition, risks, opportunities, and priorities.
Lead the annual operating and program budget process with the Executive Director and program leaders; develop assumptions, timelines, consolidated budgets, and supporting schedules for management and board review.
Maintain forecasts and cash-flow projections; monitor liquidity, receivables, and contract payment timing, and recommend action when conditions change.

Accounting and Financial Reporting:

Direct and perform the monthly and year-end close and ensure timely, accurate GAAP-based financial statements, including the statement of financial position, statement of activities, cash-flow information, program and grant reports, and management dashboards.
Prepare concise financial analysis for the Executive Director, senior leadership, Finance Committee, and Board; communicate complex issues clearly.
Oversee the chart of accounts, general ledger, journal entries, account reconciliations, revenue recognition, expense classification, allocations, and documentation supporting financial balances.
Maintain accurate accounting for restricted contributions, grant revenue, releases from restriction, pledges or receivables, and other funding arrangements in accordance with donor or grantor terms.

Government Contracts, Grants, and Program Billing:

Oversee fiscal management of federal, New York State, county, local, foundation, and other grants and contracts from budget development through closeout.
Monitor grant budgets, cost allocations, match requirements, deadlines, and documentation; ensure costs are allowable, allocable, reasonable, consistently treated, and supported.
Coordinate and review vouchers, invoices, claims, drawdowns, reconciliations, amendments, and financial reports; maintain schedules that reconcile contract and grant activity to the general ledger.
Lead preparation, coordination, review, and timely submission of the New York State Consolidated Fiscal Report (CFR), as applicable, with internal and external partners.

Accounting Operations, Systems, and Internal Controls:

Oversee payroll, accounts payable, accounts receivable, banking, cash receipts, credit cards, investments, and related general-ledger activity for accuracy, timeliness, and compliance.
Review bank, cash, investment, credit-card, payroll, receivable, and other key reconciliations before monthly reporting; resolve unusual or aged items promptly.

Audit, Regulatory Compliance, and Risk Management:

Coordinate annual audit preparation and serve as management's liaison with independent auditors; prepare schedules, facilitate board communication, and resolve findings.
Coordinate preparation and review of applicable tax and regulatory filings, including Form 990 and New York charitable-organization filings, with external professionals and authorized officers.
Ensure adherence to financial laws, tax regulations, and internal controls to prevent fraud.

Skills Required:

Sound judgment, integrity, discretion, and a strong commitment to stewardship.
Strong working knowledge of GAAP and nonprofit accounting, including restricted funds, grant revenue, internal controls, and financial reporting.
Clear written and verbal communication skills and the ability to make financial information understandable to non-finance colleagues.
Ability to use spreadsheet and accounting systems for analysis, recordkeeping, and reporting.
A collaborative and respectful approach to managing and working with people with varied roles, backgrounds, and levels of financial knowledge.

Qualifications:

Bachelor's degree in accounting, finance, business administration, or a closely related field, or an equivalent combination of education and directly relevant experience.
At least five years of progressively responsible nonprofit accounting or financial-management experience covering financial statements, budgeting, audit preparation, and grant or contract accounting.
Experience supervising or reviewing others' work and building dependable financial processes.
Ability to work primarily onsite in the Glenville, NY area until CAPTAIN CHS’s Clifton Park, NY headquarters is anticipated to be completed by the end of 2027, at which time the Finance Department will move to Clifton Park.

Preferred Qualifications:

CPA, master's degree in accounting or finance, or other relevant advanced training.
Experience with New York government contracts, grant vouchering, cost allocation, CFR preparation, or Medicaid billing.
Experience with Fund EZ or another nonprofit fund-accounting system.

Salary and Benefits:

The annual salary range for this full-time, exempt position is $75,000-$90,000. Starting salary will be based on relevant experience, education, and skills.

CAPTAIN CHS's full-time benefits include medical, dental, and vision coverage; accrued paid time off; holiday time; and a commitment to training and staff development. Eligibility, employee contributions, waiting periods, and other plan terms are governed by applicable plan documents and organizational policies.

Telecommuting and Remote Work: This is a full-time, exempt position that is primarily onsite because of operational needs, timely access to records and mail, and close collaboration with finance and executive staff. Remote work may be considered in unusual circumstances. Standard work hours are general business hours, Monday through Friday. Occasional early or late work may be needed during audits, budget development, payroll, month-end or year-end close, and government or grant reporting periods.
