Overview

We are seeking a dynamic and detail-oriented Credit Card Processing Executive Administrative Specialist to join our team. This vital role combines administrative excellence with specialized knowledge in credit card processing, ensuring seamless financial operations and exceptional support for our leadership team. As a key player in our organization, you will manage complex administrative tasks, coordinate projects, and facilitate communication across departments, all while maintaining a high level of professionalism and technical proficiency. This position offers an exciting opportunity to contribute to a fast-paced environment where your organizational skills and proactive approach will drive success.

Responsibilities

Manage and coordinate credit card processing activities, ensuring accuracy and compliance with company policies.
Provide comprehensive executive administrative support, including calendar management, scheduling meetings, and handling correspondence.
Assist with bookkeeping tasks using QuickBooks and other productivity software to maintain financial records accurately.
Support project coordination efforts by organizing meetings, preparing agendas, and tracking progress on various initiatives.
Facilitate event planning for corporate functions or client engagements, handling logistics from venue booking to materials preparation.
Utilize video conferencing software to set up virtual meetings, record transcripts, and ensure smooth remote communication.
Maintain organized filing systems, handle data entry tasks, and perform clerical duties such as proofreading and transcription to support daily operations.

Experience

Proven experience in office management or administrative roles, preferably supporting C-suite executives or senior managers.
Demonstrated proficiency with Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and productivity tools like Microsoft Outlook Calendar.
Strong technical skills including familiarity with multi-line phone systems, DocuSign electronic signature platform, and video conferencing tools.
Prior experience in credit card processing or financial services is highly desirable.
Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment.
Exceptional communication skills with professional phone etiquette and customer service experience.
Background in bookkeeping or accounting using QuickBooks or similar software is a plus.
