Bilingual Enrollment Specialist
Description:
The Bilingual Enrollment Specialist oversees the full student enrollment lifecycle from initial inquiry through matriculation and first day attendance, serving as the primary point of contact for prospective and newly enrolled families. This position ensures a welcoming, efficient, and compliant enrollment experience while maintaining accurate student records, coordinating enrollment outreach efforts, and supporting successful student onboarding, retention, and transition into Pinnacle Charter School. In addition to managing enrollment operations, the Specialist builds positive relationships with prospective and current families and collaborates with school leadership and the Marketing and Communications Specialist to support enrollment growth. The Specialist serves as a trusted bilingual resource by providing guidance throughout the enrollment process, connecting families with school resources, and creating a welcoming first impression of Pinnacle Charter School. The ideal candidate is highly organized, detail-oriented, proactive, and capable of independently managing multiple priorities while delivering exceptional customer service.
Schedule: The normal work schedule for this position is generally Monday through Friday, between 7:30 a.m. and 4:00 p.m. However, occasional late afternoon, evening, and/or weekend hours may be required based on business needs, as determined by the Director.

Compensation:
This is an hourly, full-time, 12-month, non-exempt position. Pay range is $30.32 - $40.94 dependent upon experience. See a detailed outline of benefits and additional compensation at the bottom of the job description.
Essential Functions:
Enrollment, Registration, and Records:
- Manage the student enrollment process from initial inquiry through acceptance, registration, matriculation, and first day attendance, ensuring a welcoming, efficient, and compliant enrollment experience.
- Serve as the primary point of contact for prospective and current families by providing guidance regarding admission requirements, enrollment procedures, eligibility, deadlines, school resources, and Infinite Campus Parent Portal support.
- Coordinate all enrollment activities by preparing enrollment materials, collecting and verifying required documentation, maintaining grade-level waitlists, facilitating student check-in, and ensuring enrollment requirements are completed prior to attendance.
- Accurately enter, maintain, audit, and manage student demographic, household, enrollment, attendance, transcript, and related records within the student information system while ensuring compliance with FERPA and established procedures.
- Manage cumulative student records, transcript requests, enrollment verifications, withdrawals, records exchanges, and incoming transcript processing while communicating relevant information to appropriate staff.
- Coordinate follow-up with families regarding enrollment documentation, including McKinney-Vento, newcomer intake, transportation, free and reduced lunch, withdrawals, and other required forms while connecting families with school resources and supporting student retention efforts.
- Prepare enrollment reports, support state reporting and compliance activities, maintain data accuracy, and continuously identify opportunities to improve enrollment processes.
Outreach and Family Support:
- Represent Pinnacle Charter School through enrollment events, recruitment fairs, open houses, campus tours, community presentations, school events, and other outreach initiatives that support enrollment growth.
- Collaborate with the Marketing and Communications Specialist, school leadership, counselors, administrators, and other staff to coordinate enrollment communications, registration events, student onboarding, promotional materials, family resources, and successful student transitions.
- Provide written translation and verbal interpretation for enrollment-related documents, meetings, and communications while serving as a bilingual advocate who reduces language barriers, promotes equitable access to school services, and ensures families feel informed, supported, and connected throughout the enrollment process.
- Identify opportunities to strengthen recruitment, outreach, family engagement, and the overall enrollment experience.
Administrative Support:
- Process student payments and maintain accurate payment records.
- Maintain organized enrollment files and documentation.
- Provide backup coverage for the K8 Front Office Receptionist and the Enrollment & Data Submissions/Systems Director as needed.
- Support continuous improvement of enrollment operations, enhance operational efficiency and the family experience, and perform other duties as assigned.
Additionally:
- Be present and engage in Pinnacle functions and events to build strong relationships with students, families, peers, and the community.
- Maintain and deepen current educational learning and professional development on an ongoing basis.
- Regular and timely attendance.
- Perform other duties as assigned.
Education, License, and Requirements:
- Bilingual proficiency in English and Spanish, (verbal and written) is required.
- High school diploma or equivalent required, Bachelor’s degree preferred.
- A minimum of 1 year of experience in student enrollment, admissions, student records, education data management, school administration, or a related field is preferred.
- K-12 and Infinite Campus experience preferred.
- Experience supporting enrollment events, recruitment, community outreach, or family engagement initiatives preferred.

- Proficiency with Microsoft Office, Google Workspace, student information systems, and accurate data entry.
- Strong organizational, analytical, problem-solving, and time management skills with exceptional attention to detail.
- Ability to manage multiple priorities, exercise sound judgment, maintain accurate records, safeguard confidential information, and comply with FERPA and school policies.
- Excellent verbal, written, and interpersonal communication skills with a commitment to exceptional customer service.

Working Conditions:
Exposure/Noise Level: Occasional exposure to airborne particles, fumes, and outdoor weather conditions. Normal school environment with moderate to high noise level.
Mental Functions: Analyze, collaboration, communicate, compare, compilation of data, compute, coordinate, copy, direct, evaluate, instruct, interpersonal skills, present, report, synthesize.
Physical Activities: Office environment including computer interface. Bend, reach, sit, stand, stoop, talk, walk, and heavy person-to-person interaction with students, parents, peers, and community members.

Other: May be required to work outside of normal working hours and travel for work related functions.
