Full Job Description

Parts Coordinator

About the Position

Ely Enterprises is seeking a motivated and organized Parts Coordinator to join our growing team. This position supports our Parts and Service Department by assisting with purchasing, inventory management, customer service, and administrative tasks. The ideal candidate is detail-oriented, enjoys solving problems, and is comfortable learning about industrial equipment parts and service operations.

Responsibilities

Research and source replacement parts for industrial equipment and related applications.
Manage all customer parts and wire sales, including preparing quotes and processing orders.
Purchase shop supplies and stock inventory, maintain accurate inventory records, and ensure the availability of parts to support customer and service operations.
Monitor and maintain the parts room, ensuring all parts and supplies used or requested by Service Technicians are accurately documented and tracked.
Order, update and manage inventory of all wire for customers, service jobs and stock.
Create purchase orders and process vendor orders.
Prepare and send customer invoices.
Manage all parts-related records in company software systems.
Answer incoming phone calls and provide excellent customer service.
Provide administrative support to technicians and office staff as needed.
Assist the Service Coordinator with documentation, customer communication, and other duties as assigned to support the daily operations of the Parts and Service Department.

Qualifications

High school diploma or equivalent.
Knowledge of QuickBooks or other accounting software preferred.
Strong computer skills, including Microsoft Office.
Comfortable learning and using new software platforms, including Pipedrive and FieldPulse.
Ability to research products and locate parts using vendor websites and catalogs.
Excellent organizational, multitasking, and attention-to-detail skills with a high level of accuracy.
Commitment to timely, professional customer follow-up.
Willingness to learn about industrial equipment, parts, and service operations.
