Job Overview

We are seeking an energetic and detail-oriented Front Desk Receptionist and Office Coordinator to be the welcoming face of our organization. In this pivotal role, you will manage front desk operations, coordinate office activities, and serve as a key point of contact for clients, visitors, and team members. Your enthusiasm and organizational skills will ensure a smooth, professional, and friendly environment that reflects our commitment to excellence. This paid position offers an exciting opportunity to develop your administrative expertise while supporting daily office functions and delivering outstanding customer service.

The candidate must have a minimum of a high school degree.

The candidate must be fluent in English and Spanish.

The candidate must be proficient in Dentrix dental software.

The candidate must have full knowledge of the Dentical dental program and billing and verifying eligibility.

The candidate must be comfortable and competent in financial and treatment planing with the patients.

The candidate must have a minimum of 5 years experience in the dental field.

Responsibilities

Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly.
Answer multi-line phone systems with professionalism, demonstrating excellent phone etiquette and customer support skills.
Manage incoming calls, direct inquiries efficiently, and take accurate messages when necessary.
Handle all clerical tasks including filing, data entry, proofreading documents, and maintaining organized records.
Coordinate office supplies, schedule appointments, and assist with general administrative duties to keep the office running smoothly.
Support client communication efforts by preparing correspondence and ensuring timely follow-up.
Assist with basic office management tasks such as organizing meetings, managing calendars, and supporting personal assistant functions as needed.

Qualifications

Bilingual abilities are highly preferred to effectively communicate with diverse clients and team members.
Proven experience in office management or administrative support roles with a strong background in clerical tasks.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with excellent computer literacy skills.
Prior experience answering multi-line phones and managing front desk operations with professionalism.
Strong organizational skills with keen attention to detail for proofreading, typing accuracy, and filing systems.
Demonstrated ability to handle multiple priorities efficiently through excellent time management skills.
Personal assistant or customer service experience is a plus to enhance client communication and support.
