Full Job Description

Paralegal in a property management company, you can expand the role well beyond traditional legal work to include compliance, risk management, collections, and operational support. Here are additional duties that are tailored specifically to the property management industry:

Legal & Compliance

Ensure compliance with California landlord-tenant laws, Fair Housing regulations, local rent ordinances, and company policies.
Draft and review lease agreements, lease addendums, renewals, and amendments.
Prepare and serve legal notices, including Notices to Pay Rent or Quit, Notices to Perform Covenant or Quit, and Notices of Entry.
Assist with ADA, habitability, and code compliance matters.
Coordinate responses to complaints from housing authorities or regulatory agencies.
Track legislative changes affecting property management and advise management of necessary policy updates.
Maintain corporate licenses, permits, and legal documentation.

Collections & Delinquency Management

Develop and oversee a company-wide delinquency and collections program.
Analyze aging reports and identify high-risk delinquent accounts.
Recommend collection strategies based on account history and legal considerations.
Negotiate payment arrangements and settlement agreements with tenants.
Prepare delinquent accounts for collections, litigation, or write-off recommendations.
Coordinate with collection agencies and outside counsel on outstanding balances.
Monitor bankruptcy filings and probate matters affecting tenant accounts.
Track judgments and coordinate post-judgment collection efforts.

Evictions & Litigation

Manage the eviction process from notice preparation through lockout coordination.
Gather evidence and documentation for unlawful detainer proceedings.
Coordinate with outside attorneys regarding active litigation.
Attend court hearings or mediations when appropriate.
Maintain litigation calendars and ensure timely filing of legal documents.
Prepare witness packets and exhibits for hearings.

Property Operations Support

Review lease compliance and identify tenant defaults.
Assist with commercial CAM reconciliations and lease interpretation.
Conduct lease audits to verify compliance with contractual obligations.
Coordinate abandoned property procedures.
Review insurance certificates from tenants and vendors for compliance.
Assist with property acquisitions and due diligence documentation.
Support portfolio transitions for newly acquired properties.

Risk Management

Investigate tenant disputes and complaints.
Document incidents involving tenant injuries, property damage, or insurance claims.
Coordinate insurance claims with carriers and adjusters.
Maintain incident reports and legal files.
Identify operational risks and recommend mitigation strategies.

Vendor & Contract Administration

Draft and review vendor contracts and service agreements.
Verify vendor licensing and insurance compliance.
Track contract renewals and expiration dates.
Assist with contractor disputes and breach of contract issues.

Corporate Support

Create and maintain company legal forms and templates.
Develop internal policies and procedures.
Train property managers on legal compliance and documentation.
Maintain legal document retention systems.
Assist with audits and internal investigations.

Administrative & Strategic

Prepare reports on legal matters, collections, and litigation trends.
Analyze delinquency data and present recommendations to executive management.
Develop standard operating procedures (SOPs) for collections, legal notices, and compliance.
Assist with budgeting related to legal expenses and collections recovery.
Support special projects and operational initiatives assigned by executive leadership.

Ideal "Value-Add" Responsibilities

To make the position more strategic, you could also include:

Lead initiatives to reduce delinquency rates across the portfolio.
Develop KPIs and reporting metrics for collections and legal performance.
Identify process improvements that reduce legal risk and improve operational efficiency.
Partner with regional property managers to proactively resolve tenant issues before legal action is necessary.
Build standardized workflows for notices, payment plans, evictions, and settlements.
Serve as the primary liaison between Operations, Accounting, and outside legal counsel on all legal and collections matters.

These additional responsibilities elevate the position from a traditional paralegal role to a Legal & Compliance/Collections Manager, making it a key operational role within a property management company.

Pay: $75,000.00 - $85,000.00 per year
