Full Job Description

POSITION SUMMARY:

The Administrative Assistant provides administrative and operational support to ensure the efficient day-to-day operation of the office. This role serves as the first point of contact for visitors and employees while supporting office administration, purchasing, onboarding, and basic HR-related functions.

KEY RESPONSIBILITIES:

Serve as the primary point of contact at the front desk by greeting visitors, answering and directing phone calls, and routing inquiries to the appropriate departments.
Maintain a professional and organized reception area.
Order and maintain office supplies, equipment, and other administrative materials to support daily operations.
Maintain facility records and filing systems, ensuring documentation is accurate, organized, and up to date.
Coordinate and schedule meetings, conference rooms, and appointments as needed.
Manage incoming and outgoing correspondence, including mail, packages, and email communications.
Assist with new hire onboarding by preparing paperwork, coordinating orientation activities, and ensuring required employment documentation is completed.
Respond to routine employee questions regarding company policies, benefits, and administrative procedures, directing more complex inquiries to Human Resources.
Create and process purchase orders in accordance with company procedures.
Process invoices, reconcile vendor billing, and coordinate with Accounting to ensure timely payment.
Maintain confidentiality of employee and company information.
Support special projects and perform other administrative duties as assigned.

QUALIFICATIONS AND EXPERIENCE:

Minimum educational requirement is high school diploma, or equivalent
Associates Degree with a Business Administration focus preferred; or 2-3 years administrative experience in a manufacturing setting; or an equivalent combination of education and experience
Able to complete multiple projects on time and with minimal supervision, which often serve several people and contain conflicting deadlines
Excellent interpersonal and communications skills
Good understanding of basic math required for quick and accurate counting and calculations
Proficiency with Microsoft Office, Excel and PowerPoint.
High attention to detail, accuracy, time management, and organization
Must have excellent communication and interpersonal skills with the ability to interact with many types of personalities
Must have sound judgment and discretional skills and be able to work with little supervision
Must be able to consistently work under pressure and simultaneously prioritize multiple projects
