Billing Specialist — Behavioral Health Practice

Position: Billing Specialist

Department: Billing & Revenue Cycle

Employment Type: Full-Time

Reports To: Director/Office Manager

Work Location: Rogers

By Schedule: M-Th 8am-5pm Fridays 8am to 12pm

Pay: based on experience

About the Position

We are seeking an experienced and detail-oriented Billing Specialist to join our behavioral health practice. This position will be responsible for managing the day-to-day insurance billing process, monitoring accounts receivable, resolving claim issues, and ensuring claims are submitted and paid accurately and timely.

The ideal candidate is someone who understands that successful billing requires more than submitting claims. This person should be comfortable researching problems, communicating with insurance companies, correcting claims, following up persistently on unpaid balances, and taking ownership of the entire billing process.

Behavioral health billing experience is strongly preferred.

Key Responsibilities

Claims & Insurance Billing

* Submit electronic and paper insurance claims accurately and within required deadlines.

* Review claims for accuracy before submission.

* Correct rejected and returned claims promptly.

* Research claim errors and determine the appropriate resolution.

* Monitor claim status through payer portals and clearinghouses.

* Follow up on outstanding claims according to established timelines.

* Ensure claims contain accurate patient, provider, diagnosis, procedure, authorization, and insurance information.

* Identify and resolve recurring billing issues.

Denials & Accounts Receivable

* Manage insurance denials, rejections, and unpaid claims.

* Work aging A/R reports and prioritize claims based on age and dollar amount.

* Contact insurance companies regarding unpaid or incorrectly processed claims.

* Research EOBs/ERAs to determine why claims were denied or underpaid.

* Submit corrected claims, reconsiderations, and appeals when appropriate.

* Track outstanding claims through resolution.

* Identify patterns in denials and communicate recurring problems to management.

* Maintain accurate documentation of billing follow-up.

Payment Posting & Reconciliation

* Review and post insurance payments and adjustments.

* Reconcile payments against EOBs/ERAs.

* Identify discrepancies between expected and actual payments.

* Research underpayments and incorrect contractual adjustments.

* Escalate significant or recurring payment discrepancies.

Eligibility & Authorizations

* Verify patient insurance eligibility and benefits when needed.

* Identify coverage limitations that may affect billing.

* Confirm authorization requirements and appropriate documentation.

* Communicate billing-related issues to the appropriate clinical or administrative team member.

Patient Billing Support

* Respond professionally to patient billing questions.

* Explain insurance payments, balances, deductibles, coinsurance, and claim issues when appropriate.

* Research patient billing concerns and resolve discrepancies.

* Maintain a professional and compassionate approach when discussing financial matters with patients.

Reporting & Communication

* Maintain accurate billing records and documentation.

* Run and review A/R and outstanding-claim reports.

* Provide regular updates regarding billing performance and unresolved issues.

* Communicate trends, payer problems, and significant billing concerns to management.

* Work collaboratively with administrative staff to resolve billing issues.

Required Experience

* 2–3+ years of medical billing experience, preferably.

* Experience submitting and correcting insurance claims.

* Experience working insurance denials and rejected claims.

* Experience with accounts receivable and aging reports.

* Experience communicating directly with insurance companies.

* Knowledge of insurance eligibility and benefits.

* Understanding of EOBs and ERAs.

* Experience with payment posting and reconciliation.

* Strong computer and data-entry skills.

* Ability to work independently and manage multiple priorities.

Preferred Experience

* Behavioral health/mental health billing.

* Medicaid and PASSE billing.

* Medicare billing.

* Commercial insurance billing.

* Knowledge of Arkansas Medicaid/PASSE billing requirements.

* Experience with CPT, HCPCS, ICD-10, and modifiers.

* Experience with prior authorizations and authorization requirements.

* Experience with claim appeals and reconsiderations.

* Experience working with clearinghouses and payer portals.

* Experience with behavioral-health EHR/practice-management systems.

Knowledge & Technical Skills

Why wasn’t this claim paid, what needs to be done, and how do I get it resolved?

The Billing Specialist should be proactive about identifying problems, following claims through resolution, and preventing the same billing issues from happening repeatedly.

The Billing Specialist will be expected to:

Education & Certification

Required:

* High school diploma or equivalent.

Certification is preferred but hands-on billing experience and demonstrated knowledge of the revenue cycle are more important.
