Customer Service Representative / Administrative Assistant

DownEast Pest Control – Bladenboro, NC

Pay: $18.00–$20.00 per hour (DOE)

We are looking for a friendly, organized, and motivated Customer Service Representative / Administrative Assistant to become the voice of our company and help keep our office running efficiently.

Position Overview

The Customer Service Representative / Administrative Assistant is responsible for delivering outstanding customer service while supporting the day-to-day operations of the office. This role serves as the first point of contact for customers and plays an important role in scheduling appointments, coordinating technician routes, maintaining accurate records, processing payments, and ensuring every customer receives a positive experience.

The ideal candidate is organized, detail-oriented, adaptable, and enjoys working in a fast-paced environment where no two days are the same.

Responsibilities:

Customer Service:

Answer inbound customer calls professionally and courteously.
Make outbound calls for scheduling, rescheduling, follow-up, and customer communication.
Respond promptly to customer emails and text messages.
Assist customers with service questions, billing inquiries, and appointment requests.
Resolve customer concerns with professionalism, empathy, and a positive attitude.
Build lasting customer relationships through exceptional service.

Scheduling & Dispatching:

Schedule pest control service appointments.
Coordinate technician schedules and routes for maximum efficiency.
Adjust schedules due to cancellations, weather, emergencies, or technician availability.
Create and update work orders.
Maintain accurate scheduling records within the company software.

Administrative Support:

Process customer payments.
Assist with billing questions and collections as needed.
Enter new customer information accurately.
Maintain customer files and detailed account notes.
Provide general office and administrative support.
Assist management with special projects and other duties as assigned.

Team Collaboration:

Communicate daily with technicians regarding schedule updates.
Work closely with office staff to ensure smooth daily operations.
Assist teammates during busy periods.
Participate in team meetings and ongoing training.

Qualifications:

Required:

1–2 years of customer service or administrative office experience.
Excellent verbal and written communication skills.
Professional phone etiquette.
Strong computer and data entry skills.
Ability to multitask in a fast-paced environment.
Strong organizational and time management skills.
High attention to detail.
Positive, professional attitude.
Dependable with excellent attendance.
Ability to quickly learn new software and systems.

Preferred:

Scheduling, dispatching, or routing experience.
CRM software experience.
Experience in the home service industry (Pest Control, HVAC, Plumbing, Electrical, Landscaping, etc.).
Billing and payment processing experience.
