Full Job Description

Position Summary:
The Accounting Assistant plays an important role on the accounting and administrative team of a general contractor. This position is responsible for processing accounts payable and payroll, maintaining accurate financial records, and providing day-to-day administrative support to ensure smooth office and project operations. The ideal candidate is detail-oriented, organized, and comfortable working in a fast-paced construction environment.

Accounting Duties:

Review, code, and process vendor invoices, subcontractor pay applications, and credit card payments
Ensure proper job cost allocation and accurate entry into the accounting system
Reconcile vendor statements and resolve discrepancies in a timely manner
Communicate with vendors, subcontractors, and internal project managers regarding payment status
Process weekly payroll (4 hours each week)

Administrative Duties:

Provide general administrative support to project managers and office staff
Share the responsibility to answer phones, manage correspondence, and handle incoming/outgoing mail
Maintain organized digital filing systems for contracts, invoices, training, and project documents
Order office supplies and manage vendor relationships for office services
Assist with preparing reports, spreadsheets, and internal documentation

Qualifications:

Associate’s degree in Accounting, Finance, or related field preferred
3+ years of accounts payable experience, preferably in construction or a related industry
Strong understanding of job costing and construction accounting practices
Familiarity with subcontractor agreements and master service agreements
Proficiency in accounting software (e.g., Sage, Viewpoint, QuickBooks, or similar)
Experience with ERP systems preferred
Familiarity with AI process automation tools
Strong attention to detail and organizational skills
Ability to manage multiple projects and deadlines in a fast-paced environment
Excellent communication and problem-solving skills

Pay: $28.85 - $33.65 per hour
