TITLE: Program Assistant – Muhlenberg Achieves

STATUS: Part-time, Non-exempt

LOCATION: Muhlenberg County, KY

REPORTS TO: Program Manager – Muhlenberg Achieves

LOCATION: On-site, Muhlenberg Achieves headquarters

About Muhlenberg Achieves

The Muhlenberg Achieves program is dedicated to promoting postsecondary success in Muhlenberg County by providing resources, mentorship, and support for residents from elementary school through adulthood. The program seeks to break down barriers to success and create opportunities for all members of our community to achieve their educational and career goals.

Muhlenberg Achieves is a program administered in partnership between Muhlenberg County Schools and the Felix E. Martin Jr. Foundation.

NATURE OF WORK

Part-time Program Assistant will work with the Muhlenberg Achieves team to provide day-to-day administrative and operational support for activities, events and program needs focused on post-secondary success in Muhlenberg County. The position requires a passion for student success and a commitment to accuracy, detail, and organization. Program Assistant will work directly under the supervision of the Muhlenberg Achieves Program Manager and will be a remote employee of the Community Foundation of Louisville, based at the Muhlenberg Achieves office in Greenville, Kentucky.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Provide day-to-day administrative and operational support for Muhlenberg Achieves post-secondary success program.
Oversee submission of financials, including submitting check requests, reconciling credit card purchases, and tracking expenses within the parameters of the annual budget.
Manage data entry, including tracking attendance and participation for events
Act as chaperone and provide on-site and set-up assistance for regular college tours, career exploration events, school programs, and community events, including periodic events held on evenings and weekends.
Work with Muhlenberg County schools to meet event guidelines, including filing permission slips, and other requirements as needed.
Assist in the preparation and delivery of materials as well as the physical set-up of events.
Assist with social media, printed flyers, and other marketing outreach
Organize and maintain file and photo storage for digital and physical files
Maintain confidential information in alignment with the Muhlenberg County Board of Education’s confidentiality standards.
Other duties as assigned by Muhlenberg Achieves Program Manager and Foundation President.

KNOWLEDGE, SKILLS, AND TALENT:

Must have proficient computer skills, particularly Microsoft Excel and other office applications (Word, Outlook and PowerPoint), Google Suite, social media applications, and the ability to learn other online applications as needed.
Strong attention to detail, accuracy and organization
Superb time management
Ability to take direction and follow through on instructions
Ability to work independently and see tasks through to completion with minimal supervision
Strong interpersonal skills with the ability to interact appropriately with colleagues, program partners, and the public in different contexts
Preference given to candidates demonstrating experience in administrative support, student support, and/or education.

Education and Experience:

High School Degree or Equivalent. Associate's or Higher Degree preferred.
Experience managing Excel spreadsheets, financial tracking, and reporting
Prior administrative experience supporting multiple team members preferred
Personal and professional integrity
A commitment to the mission and values of the Muhlenberg Achieves program.

PHYSICAL REQUIREMENTS:

Physical requirements will vary depending upon the specific duties to be accomplished, but may require the ability to lift objects of up to 40 pounds. Job duties require approximately 50% sitting/typing and 50% moving around and will require travel on school buses. Also, he or she must be able to operate and have access to a vehicle for work-related travel in the County and region. Attendance will periodically be required at special events outside of normal working hours.

COMPENSATION:

This position is an administrative, part-time, non-exempt staff position and will pay $15/hour and will work an average of 20 – 30 hours each week, with hours varying from week to week. No health benefits will be included.
