Full Job Description

Job Summary

We are seeking a detail-oriented Front Desk Receptionist and Administrative Assistant to join our dynamic team. In this pivotal role, you will be the first point of contact for property management and brokerage clients and tenants, ensuring a welcoming and professional environment. You will manage a variety of administrative tasks, support office operations, and assist with client communication to help our organization run smoothly and efficiently. Your proactive attitude and excellent organizational skills will contribute significantly to our team’s success.

Responsibilities

Greet visitors warmly, answer multi-line phone systems, and direct calls with professionalism and courtesy
Manage front desk operations, including dispatching maintenance service requests, handling inquiries, and relaying information to staff
Perform clerical duties such as data entry, word processing, proofreading, and maintaining organized files
Support office management by coordinating appointments, scheduling meetings, and managing property calendars
Assist with client communication through email correspondence and phone reception, ensuring clear and courteous interactions
Handle office supplies inventory, order necessary materials, and maintain a tidy reception area
Provide general administrative support to team members, including typing documents, preparing reports, and supporting special projects

Requirements

Proven experience in office management or administrative roles with strong clerical skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general computer literacy
Excellent phone etiquette with experience answering multi-line phone systems and providing customer support
Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
Previous office experience involving Customer Relation Management (CRM) or Property Management System (PMS) software for data entry and record keeping
Personal assistant or front desk experience in a real-estate office or property management company is a plus
Demonstrated ability to handle confidential information discreetly while maintaining professionalism

Pay: $18.00 - $22.00 per hour
