Part-Time Accounting & Administrative Coordinator

Total Disaster Solutions (TDS) — Mansfield, TX
Part-Time | Approximately 20 Hours/Week | In-Office

About Total Disaster Solutions

Total Disaster Solutions (TDS) is a growing restoration and disaster recovery company serving residential and commercial customers throughout the DFW area. We provide water mitigation, fire and smoke restoration, mold remediation, reconstruction, and other specialty restoration services.

We are looking for a highly organized, detail-oriented individual to join our team and take ownership of important accounting and administrative responsibilities as we continue to grow.

About the Position

This is not a traditional receptionist or general office assistant position.

The person in this role will be responsible for helping TDS maintain accurate accounts receivable, job-costing information, expense records, project documentation, and management reports. You'll work with financial and project information that directly impacts how we understand the performance and profitability of our jobs.

The ideal candidate is someone who genuinely enjoys working with numbers, details, organization, and systems—and who takes pride in getting things right.

We are looking for someone who can work independently, recognize when something doesn't look right, ask good questions, and take ownership of getting things done.

Primary Responsibilities

Accounts Receivable

Enter and maintain customer invoices and payment information
Monitor outstanding accounts receivable and aging
Track past-due invoices and assist with payment follow-up
Apply payments and maintain accurate customer balances
Identify discrepancies between invoices, payments, and customer records
Maintain organized documentation supporting outstanding balances

Job Costing & Expense Tracking

Enter vendor invoices, receipts, credit-card transactions, and other expenses
Accurately assign expenses to the appropriate restoration project
Categorize job costs including materials, subcontractors, equipment, labor, and other expenses
Maintain accurate and current job-cost information throughout the life of each project
Assist with comparing actual job costs against estimates and budgets
Identify missing, unusual, or potentially incorrect expenses
Help maintain accurate project profitability information

Reporting & Documentation

Prepare job-cost and profitability reports
Prepare accounts receivable and aging reports
Build professional reports and documentation for customers and property managers
Assemble financial and project documentation for insurance adjusters
Maintain organized electronic records and project documentation
Assist management with other financial and administrative reporting as needed

Administrative Support

Assist with general accounting and administrative tasks
Communicate professionally with customers, vendors, property managers, and insurance professionals when needed
Help establish and maintain efficient administrative processes as TDS continues to grow
Take ownership of assigned responsibilities and follow tasks through to completion

Preferred Qualifications

The following experience is highly desirable, although we are willing to train the right person:

Experience in the restoration, construction, property management, or insurance industry
QuickBooks experience
Accounts receivable or accounts payable experience
Bookkeeping or accounting experience
Experience with job costing or project accounting
Experience working with insurance claims or insurance documentation
Proficiency with Microsoft Excel
Experience working with cloud-based accounting or project-management systems

Restoration-industry experience is a significant plus, but it is not required.

Technology & AI

TDS embraces technology as a tool to improve efficiency, accuracy, and the quality of our work.

The successful candidate will be comfortable learning and using AI tools, including AI prompting, to assist with developing professional reports, analyzing information, organizing data, improving administrative processes, and finding more efficient ways to accomplish their responsibilities.

Previous AI experience is not required. What is important is a willingness to learn, experiment, and incorporate new technology into your work.

We are looking for someone who is curious and adaptable and who sees technology as a tool to help them do their job better—not as a replacement for good judgment, accuracy, or personal responsibility.

Schedule, Location & Compensation

Approximately 20 hours per week
Part-time position
In-office position — Mansfield, Texas
This position requires the successful candidate to work from our office. Remote work is not available for this role.
We are looking for someone who can maintain a consistent weekly schedule.
Compensation: $21–$26 per hour, depending on experience and qualifications

There may be opportunities for additional hours and increased responsibility as TDS continues to grow.
