Full Job Description

About The Position

We're a busy real estate and property management office in Modesto looking for a full-time Property Management Administrative Assistant – Front Desk to join our team. This position will manage our front desk while providing essential administrative support to the property management department and other staff.

This role interacts daily with tenants, property owners, applicants, vendors, and visitors, so professionalism and strong interpersonal skills are essential. The ideal candidate is organized, detail-oriented, and comfortable juggling multiple responsibilities in a fast-paced office.

Prior administrative experience is required for this position. Experience working in a real estate or property management office is a plus.

Responsibilities

Front Desk & Communication

Serve as the first point of contact for visitors and callers
Answer and direct calls using a multi-line phone system
Manage incoming and outgoing mail
Review and distribute after-hours call logs

Leasing & Tenant Support

Prepare leases, notices, correspondence, forms, and other documents
Process and screen rental applications
Create and maintain property advertisements
Research comparable rental rates
Make collection and follow-up calls

Property & Vendor Coordination

Coordinate work orders and communicate with vendors and tenants
Track unit turns and make-ready work
Schedule vendors, inspections, appointments, and property access
Coordinate utility service starts and stops
Order property signs and coordinate lockboxes and key access
Maintain vendor records and contact information
Code recurring accounts payable invoices for managed properties
Prepare and maintain rent rolls and property records

General Administrative

Perform data entry and maintain daily filing
Schedule and confirm appointments for staff
Maintain contact lists and staff calendars using company software
Schedule and maintain the conference room and monitor the company calendar
Handle sensitive and confidential information appropriately
Provide general administrative support to the property management team and other departments
Order, organize, and maintain office supplies
Coordinate with and oversee building service vendors for the office

Requirements

At least 5 years of administrative, front desk, or clerical support experience in a fast-paced environment
Previous property management office experience preferred
Experience answering and directing calls on a multi-line phone system
Strong organizational, time-management, and multitasking skills
Excellent written and verbal communication skills
Professional and courteous manner with callers and visitors
Strong attention to detail, accuracy, and follow-through
Ability to manage changing priorities and solve problems
Proficiency with Microsoft Office products
Knowledge of standard office procedures and filing systems
Ability to work independently and as part of a team
High school diploma or equivalent required
Reliable transportation and proof of automobile insurance
