Job Summary

We are seeking energetic and personable Front Desk Staff to be the welcoming face of our organization. In this vital role, you will manage front desk operations with enthusiasm, ensuring a smooth flow of daily activities. Your positive attitude and excellent communication skills will create a warm environment for clients, visitors, and team members alike. This paid position offers an exciting opportunity to develop your administrative and customer service skills while contributing to a professional and friendly workplace.

Responsibilities

Greet visitors and clients warmly, providing exceptional customer service at all times
Answer multi-line phone systems promptly, professionally, and courteously, directing calls as needed
Manage front desk operations including scheduling appointments, maintaining calendars, and organizing files
Handle clerical tasks such as data entry, proofreading documents, and preparing correspondence using Word processing software
Maintain organized filing systems and ensure all office supplies are stocked and accessible
Support office management tasks including calendar management, time management, and general administrative support
Assist with client communication, follow-up inquiries, and support team members with various administrative duties

Requirements

Bilingual abilities are highly preferred to effectively communicate with diverse clients and visitors
Proven office management or administrative experience in a professional environment
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general computer skills
Excellent phone etiquette with experience answering multi-line phone systems and providing customer support
Demonstrated clerical experience including filing, data entry, proofreading, and document management
Exceptional organizational skills with the ability to prioritize tasks efficiently in a fast-paced setting
Experience in client communication, calendar management, typing accurately, and supporting office operations
Personal assistant or front desk experience is advantageous but not required; a proactive attitude is essential
