Join Our Team as an Executive Assistant!

Boys & Girls Clubs of Maui | Kahului, Maui

Do you thrive on keeping things organized, making the impossible look easy, and helping great people do their best work?

We're looking for an Executive Assistant who enjoys variety, loves solving problems, and can keep multiple priorities moving with professionalism, accuracy, and aloha.

What You'll Be Doing

No two days are exactly alike. You'll be a trusted partner to our CEO and executive team by:

Managing calendars, meetings, and schedules
Preparing agendas, meeting minutes, reports, and correspondence
Processing accounts payable and assisting with financial documentation
Coordinating travel arrangements and tracking travel grants
Organizing Board and committee meetings
Answering phones and providing professional customer service
Maintaining organized electronic and paper filing systems
Assisting with office operations, supplies, and special projects
Supporting organization-wide events and activities
Supporting the CEO and Executive Leadership Team with administrative and operational needs
Maintaining accurate databases, spreadsheets, and records
Helping coordinate leadership and Board-level meeting logistics
Balancing multiple priorities and requests with professionalism and confidentiality

Most importantly, you'll help keep the administrative side of BGCM running smoothly so our teams can stay focused on serving Maui's youth.

We're Looking For Someone Who...

Loves organization and attention to detail
Can juggle multiple priorities while staying calm and professional
Enjoys helping others and providing excellent customer service
Handles confidential information with care and discretion
Communicates clearly and professionally, both in writing and in person
Enjoys working as part of a collaborative team
Takes initiative and follows through

Qualifications

High school diploma or equivalent
Executive Assistant or senior administrative support experience preferred
QuickBooks or similar bookkeeping software experience preferred
Experience processing accounts payable
Strong Microsoft Office skills, including Outlook, Word, Excel, Publisher, and Adobe Pro
Typing speed of at least 50 words per minute
Excellent organizational, communication, and time management skills
High level of accuracy and attention to detail
Valid driver's license with an acceptable driving record
