Job Overview

We are seeking a dynamic and highly organized Office Administrative Assistant to join our team! In this vital role, you will serve as the backbone of our office operations, ensuring smooth daily functions and exceptional support for staff and clients alike. Duties

Manage front desk responsibilities, including greeting visitors, answering multi-line phone systems, and providing excellent customer service with professional phone etiquette.
Handle data entry tasks accurately using spreadsheets and word processing software, maintaining organized records and files.
Assist with calendar management and scheduling appointments or meetings for staff members, ensuring optimal time management.
Support office management tasks such as ordering supplies, maintaining office equipment, and coordinating maintenance needs.
Utilize technical proficiency in Microsoft Office applications and QuickBooks for invoicing, expense tracking, and report generation.
Provide clerical support through proofreading documents, preparing correspondence, and managing client communication efficiently.
Contribute to overall office productivity by supporting personal assistant duties and ensuring smooth day-to-day operations.

Qualifications

Proficiency in QuickBooks a must
Proven experience in office management or administrative roles with strong organizational skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry processes.
Excellent computer skills coupled with strong typing speed and accuracy.
Prior experience with QuickBooks accounting software is highly desirable.
Bilingual abilities are a plus to effectively communicate with diverse clients and team members.
Demonstrated customer service skills with a professional demeanor in front desk or client-facing roles.
Strong time management skills with the ability to prioritize tasks effectively in a fast-paced environment.
Knowledge of multi-line phone systems, phone etiquette, and general clerical procedures is essential.
Experience supporting office operations through technical proficiency in productivity software and document proofreading.
