Full Job Description

Title: Property Assistant

Education: Associates degree or equivalent Preferred

Experience: 3 - 5 years in property management administration or similar discipline

Key Responsibilities

The successful candidate will be able to demonstrate core competencies in the following areas:

Develop and maintain positive owner/tenant relationship.
Assist Property Management team with lease administration and review of Landlord/Tenant responsibilities as defined in the Lease.
Assist with collection of all rents under lease agreements. Work with Property Manager(s) to send out outstanding balance, late fee, and default notices.
Prepare aged receivables reports and review with the Property manager(s). Work with tenants, Property Manager(s), and Property Accountant(s) to clear up aged items.
Assist Property Manager(s) with updating lease and tenant information into Yardi/Angus accounting system.
Assist in preparing and executing annual property business plans and budgets and monthly financial reporting as directed by the Property Manager(s).
Participate in Landlord/Tenant/Vendor meetings as directed by Property Manger(s).
Assist with invoice collection and approval process as directed by the Property Manager(s).
Work with utility companies to facilitate stop, start and transfer of services.
Work with government entities for address changes, as built requests, and permit submittals.
Assist with move-in and move-out of tenants (condition reports, photo documentation, lease compliance with turnover etc.)
Review and monitor tenant and building work orders and preventive maintenance programs to ensure work orders are completed in accordance with policy, procedure, and contract compliance.
Assist maintenance team in coordinating work with tenants and vendors.
Assist with preparing service contracts as directed by the Property Manager(s). This may include obtaining competitive bids and, with approval, awarding contracts, and oversight of existing contracts to ensure the scope of work is being completed and the expenses are in accordance with the contract.
Assist with tracking of the life safety system inspection schedules and collect and file inspection reports and follow up on deficiencies.
Assist in preparation of property sale due diligence information preparation and onboarding new properties.
Other duties as may be required.

Requirements

The successful candidate will possess the following required degrees, certificates or competencies:

Client service-oriented attitude
Excellent verbal and written communication skills
Understanding of accounting and financial principles
Strong organizational and time management skills
Advanced computer skills with understanding of Yardi and Microsoft Excel Preferred
Minimum of three years of property management administration experience or similar discipline
A Bachelor’s degree is strongly preferred
