Office & Purchasing Assistant (Full-Time)

About the Role

We're looking for a dependable, organized Office & Purchasing Assistant who thrives in a fast-paced environment and takes pride in accuracy, efficiency, and customer service. In this role, you'll work closely with our Purchasing Team and General Manager, providing administrative, purchasing, and office support that keeps our operations running smoothly.

As a small business, teamwork and flexibility are essential. Team members are cross-trained in multiple areas to ensure excellent service as business needs change. You'll begin by learning our front-end operations, including the cashier/register area, to build a strong understanding of our customers, products, and daily processes before expanding into purchasing and office responsibilities.

The ideal candidate is proactive, detail-oriented, dependable, and able to manage multiple priorities while taking ownership of their work.

Responsibilities

Purchasing & Receiving

Enter and maintain accurate product information in the Point of Sale (POS) system.
Create and process purchase orders.
Receive inventory and verify quantities against purchase orders and vendor invoices.
Process vendor credits and maintain accurate purchasing records.
Monitor inventory accuracy and report discrepancies.

Administrative & Office Support

Assist with employee scheduling and other administrative tasks.
Maintain organized office files and records.
Coordinate meetings, training sessions, and employee events.
Communicate professionally with vendors, customers, and team members by phone and email.
Assist with sales promotions, special events, and related vendor billing.
Support daily office operations and other departments through cross-training.

Qualifications

We're looking for someone with:

Advanced Microsoft Excel skills and strong computer proficiency.
Administrative or office support experience.
Purchasing, inventory, receiving, or POS experience preferred.
Excellent organizational, time-management, and communication skills.
Exceptional attention to detail and accuracy.
The ability to work independently while contributing as part of a team.
A dependable work ethic, consistent attendance, and willingness to learn.
