Full Job Description

Missouri Girls Town is seeking a friendly, organized, and detail-oriented Administrative Assistant to serve as the first point of contact for our organization. This position plays a vital role in creating a welcoming environment for visitors, supporting daily office operations, and providing administrative assistance to our leadership team.

Essential Responsibilities

Professionally answer and direct incoming phone calls, ensuring all calls are handled courteously and efficiently.
Welcome visitors and determine appropriate access to staff members, including executive leadership.
Create, organize, maintain, and archive client files in accordance with agency procedures.
Monitor and distribute incoming and outgoing mail, correspondence, and faxes.
Manage office postage and maintain inventory of office supplies.
Record all incoming monetary donations, make copies for agency records, and deliver documentation and funds to the Accounts Receivable department.
Prepare reports, letters, memos, and other administrative documents.
File and retrieve organizational records, documents, and reports.
Provide general administrative support to leadership and agency staff.
Perform other duties as assigned by the Associate Director and Executive Director.

Qualifications

High school diploma or equivalent required; associate degree preferred.
Previous administrative or office experience preferred.
Excellent verbal and written communication skills.
Strong organizational skills with exceptional attention to detail.
Proficiency in Microsoft Office (Word, Excel, Outlook) and other standard office software.
Ability to maintain confidentiality and handle sensitive information with professionalism.
Strong customer service skills and the ability to interact professionally with staff, clients, donors, and community members.
Ability to prioritize multiple tasks and work independently.
