Full Job Description

Job Summary

The Sample Intake & Accessioning Specialist is responsible for receiving, logging, labeling, and routing cannabis samples through the laboratory with a focus on speed, accuracy, and chain-of-custody integrity. This is a high-throughput operational role with consistent, repetitive workflows and frequent task-switching (rush samples, couriers, client questions, internal requests).

This role is critical to ensuring samples move smoothly into testing and the lab meets turnaround time goals.

What Success Looks Like

Samples are accessioned quickly and correctly
Chain of custody is clean and defensible
Labels, weights, photos, and required documentation are complete
Rush samples are prioritized without disrupting overall flow
Minimal errors, minimal rework, minimal missing data

Key Responsibilities

Sample Receiving / Chain of Custody

Receive cannabis samples from clients/couriers and verify:
client information
sample count
packaging integrity
required documentation / compliance elements
Maintain accurate chain-of-custody records per SOP and regulatory requirements

Accessioning / LIMS Data Entry

Accession samples into LIMS accurately and efficiently
Generate and apply labels (sample IDs, barcodes, batch IDs)
Verify sample identity and prevent mislabeling/mix-ups (zero tolerance)

Sample Routing / Flow

Organize samples by department/testing needs (potency, micro, metals, etc.)
Stage samples for analysts and communicate priorities clearly
Maintain clean handoff practices to reduce downstream errors

Operational Support

Maintain cleanliness and organization of the intake/accessioning area (5S)
Track and restock supplies (labels, bags, gloves, etc.)
Assist with periodic audits, documentation checks, and procedural updates

Required Skills / Traits

Strong attention to detail with high-volume, repetitive work
Ability to multitask and stay organized during interruptions
Comfortable working in a production-paced environment
Basic computer skills (email, data entry, barcode/label printing)
Reliable attendance and punctuality
Able to follow SOPs exactly and document work clearly

Preferred Background (not required)

Experience in specimen receiving, sample accessioning, or regulated operations (clinical lab, hospital lab, pharma, food testing)
Logistics/warehouse experience (high-throughput scanning/receiving)
Cannabis industry experience (production/manufacturing/dispensary) is a plus but not required

Education

High school diploma or equivalent required
Associate’s degree preferred but not required

Physical Requirements

Able to lift up to 35 lbs
Standing/walking for extended periods
Fine motor skills for labeling, handling, and packaging

Working Conditions

Chemical exposure possible depending on site workflow
PPE required per safety program (gloves, lab coat, eye protection)
