JOB SUMMARY
The Sales & Rental Coordinator is responsible for supporting equipment sales and rental operations by sourcing equipment, coordinating rental transactions, maintaining inventory records, and providing exceptional customer service. This role serves as a key point of contact for customers and internal departments, ensuring equipment availability, accurate documentation, timely communication, and efficient resolution of issues. The Sales & Rental Coordinator also supports departmental profitability through inventory management, accounts receivable oversight, and adherence to established operational processes and performance goals.
ESSENTIAL DUTIES & RESPONSIBILITIES
Customer Service & Sales Support (Applies to all aspects of the role)

Serve as a primary contact for equipment sales and rental customers, building and maintaining positive customer relationships.

Identify and source equipment to meet customer sales and rental needs.

Proactively communicate with customers to understand requirements, address concerns, and ensure a high level of satisfaction.

Resolve customer issues related to equipment rentals, deliveries, returns, and billing in a timely and professional manner.

Gather and communicate customer feedback to support continuous service improvement.
Rental & Inventory Coordination

Coordinate rental transactions from initiation through completion, ensuring accurate documentation and timely processing.

Maintain accurate inventory records and monitor equipment availability, utilization, and location.

Oversee company-owned equipment inventory and ensure assets are properly tracked and managed.

Coordinate equipment inspections and communicate maintenance or repair needs to the service department upon equipment return.
Administrative & Financial Support

Enter, update, and maintain customer information in the company CRM and other business systems.

Complete all required paperwork, reports, and transaction records accurately and on time.

Monitor accounts receivable and follow established procedures to help ensure timely customer payments.

Track departmental expenses and assist with managing company purchasing and credit card transactions.

Support departmental Key Performance Indicators (KPIs) and operational goals established by leadership.
Cross-Functional Collaboration & Compliance

Collaborate effectively with sales, service, parts, accounting, and other departments to meet customer needs.

Participate in meetings and contribute ideas that improve operational efficiency and customer service.

Maintain work areas, equipment, and facilities in a clean, organized, and professional manner.

Follow all company policies, procedures, and safety requirements.

Support and promote a positive team environment through professional communication and collaboration.

REQUIRED

High school diploma or GED.

Minimum two (2) years of experience in customer service, customer relations, sales support, rental operations, or a related field.

Proficiency with Microsoft Office applications, including Excel, Word, and Outlook.

Valid driver's license with an acceptable driving record.

Ability to work occasional overtime based on business needs.

Strong organizational skills with the ability to manage multiple tasks and priorities simultaneously.
PREFERRED

Experience working with construction, industrial, agricultural, or heavy equipment.

Previous experience in equipment rental, fleet management, inventory control, or dealership operations.

Familiarity with CRM software and equipment management systems.
