Department Secretary

Full-Time | Monday-Friday | Excellent Benefits | $18-$22 DOE

We are seeking an experienced Department Secretary to provide administrative support to the Department Chair, faculty, students, and visitors in a busy university department. This position offers a professional work environment, excellent benefits, and the opportunity to be part of a collaborative academic team.

Responsibilities

Provide administrative support to the Department Chair and faculty.
Prepare correspondence, reports, forms, and other departmental documents.
Answer phones, greet visitors, and assist students and faculty.
Manage calendars, schedules, meetings, and room reservations.
Process purchasing requests, travel reimbursements, and departmental paperwork.
Maintain files, records, and departmental databases.
Assist with student registration, lab waivers, and enrollment processes.
Order office and laboratory supplies.
Coordinate departmental meetings and special events.
Track departmental budgets and process financial documents.
Supervise student assistants as assigned.
Perform other administrative duties as needed.

Qualifications

High School Diploma or GED required.
Minimum 4 years of progressively responsible administrative or secretarial experience.
Typing speed of 35 WPM or greater.
Strong organizational and communication skills.
Ability to manage multiple tasks while maintaining accuracy.
Professional customer service skills.
Proficiency with Microsoft Word, Excel, PowerPoint, Adobe Acrobat, Google Workspace, and standard office equipment.

Preferred Experience

Experience in a college, university, or professional office environment is a plus. Familiarity with ERP/SIS Software, Quicken/QuickBooks, or similar financial and student information systems is preferred but not required.
