Job Summary

We are seeking a dynamic and highly organized Office Manager to oversee daily administrative operations and ensure the smooth functioning of our fast-pace office environment. This pivotal role involves managing office procedures, supporting staff, and maintaining a welcoming atmosphere for clients and visitors alike. The ideal candidate will bring strong organizational skills, excellent communication abilities, and a proactive approach to problem-solving. As an Office Manager, you will be the backbone of our office, fostering efficiency and professionalism in every task you undertake.

Responsibilities

Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
Oversee office supplies inventory, procurement, and filing systems to ensure operational continuity
Coordinate calendar management and scheduling for meetings, appointments, and events using tools like Google Workspace and Microsoft Office
Handle data entry, proofread documents, and maintain accurate records through meticulous clerical work
Support bookkeeping activities using QuickBooks or similar accounting software to track expenses and invoices
Provide exceptional customer service by assisting clients and visitors promptly and courteously
Organize office space for maximum efficiency, including filing, document management, and maintaining a clean environment

Qualifications

Proven experience in office management or administrative roles with strong organizational skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Familiarity with QuickBooks or other bookkeeping software is preferred
Excellent computer literacy with the ability to perform data entry, proofreading, and file management tasks accurately
Strong communication skills in both English and bilingual capabilities are highly desirable
Experience working in customer service or as a receptionist (dental or medical receptionist experience is a plus)
Ability to manage multiple priorities effectively with excellent time management skills
Previous clerical experience including filing, calendar management, and phone support is essential
Associate's degree required.
