Full Job Description

Position Title: Finance Administrative Assistant
Location: Assigned by Director
Department: Bookkeeping
Reports to: Director of Finance
FLSA Class: Non-Exempt
Revised Date: 08/26/2025

SUMMARY:

This position is responsible for assisting in the administration of the Regional Office of Education’s business affairs to provide the maximum educational services for the financial resources available.

KEY RESPONSIBILITIES:

Key Responsibilities

Financial Management: Perform daily accounting functions using SDS, monitor fund activity, maintain accurate financial records, complete reconciliations, and ensure compliance with accounting standards and funding requirements.
Accounts Payable & Purchasing: Process purchase orders, invoices, checks, ACH payments, employee reimbursements, and deposits while verifying budget availability and maintaining supporting documentation.
Budget & Grant Support: Assist with the development, implementation, and monitoring of organizational and grant budgets, including reimbursement requests and expenditure tracking.
Audit & Records Management: Maintain financial filing systems, support audits and monitoring visits, implement internal controls, and document accounting procedures.
Asset & Fleet Management: Oversee asset inventory, tagging, and recordkeeping, while coordinating ROE van scheduling, maintenance, and fleet documentation.
Human Resources & Administrative Support: Assist with onboarding, HR recordkeeping, independent contractor documentation, administrative projects, and department procedures.
Operational Support: Provide administrative support to the Director of Finance, Payroll Officer, Regional Superintendent, and Assistant Regional Superintendent, complete ongoing SDS training, and perform other duties as assigned.

QUALIFICATIONS, KNOWLEDGE, & CRITICAL SKILLS:

1. Minimum Associates Degree in finance, accounting, or related field desired.
2. A minimum of 2-5 years’ experience in an accounting, bookkeeping, or related position.
3. Knowledge of Google Suite and Microsoft Office programs including Word, Excel, Access,
PowerPoint, etc.
4. Ability to lift and carry up to 20 lbs.
5. Ability to push/pull up to 10 lbs.
6. Ability to communicate to students, parents and staff in an acceptable/courteous manner.
7. Must have excellent oral and written communication skills to work with teachers,
education support personnel, building administrators and the general public.
8. Enforce school regulations and policies in a professional manner.
9. Ability to maintain good working relationships with fellow employees and pupils.
