Full Job Description

Job Overview

Reporting directly to the Flight Operations Coordinator, the Charter Coordinator will provide administrative and coordination support across flight operations. This is a detail-driven, service-oriented role requiring excellent communication, sound judgment, professionalism, and composure in a dynamic aviation environment. This is a part-time W-2 position consisting of approximately 10 full days per month, with potential to grow into a more full-time role. Availability for evenings, weekends, after-hours needs, and on-call responsibilities is required. Hybrid work is available; Bozeman-based candidates are preferred, but remote candidates will be considered.

Duties

Coordinate charter trips and day-to-day administrative needs for Part 135 and Part 91. Expectation is for timely responses with exceptional accuracy.
Coordinate schedules, aircraft, crew, passengers, vendors, and trip logistics
Communicate proactively and professionally with clients, pilots, vendors, and internal team members
Vigorously pursue resolution to charter client and vendor concerns. If escalation requires additional company resources, this position will maintain responsibility for timely resolution of the issue.
Prepare and maintain accurate trip documentation, manifests, and operational records
Assist with last-minute schedule changes, cancellations, and other operational adjustments
Monitor trip details and follow up on outstanding items so nothing falls through the cracks
Generate monthly operational and activity reports for management review
Maintain confidentiality, professionalism, and discretion with client and company information

Skills

Extremely detail-oriented, highly organized, and dependable
Excellent written and verbal communicator with strong customer-service instincts
Calm, composed, and professional under pressure
Independent and self-directed, with strong follow-through and good judgment
Comfortable multitasking and managing competing priorities
Professional, polished, and comfortable working with high-value clients and vendors
Aviation enthusiast interested in learning and growing within the industry
Available for scheduled days as well as after-hours, evening, weekend

Aviation experience is preferred but not required. Experience with Part 135 or Part 91 operations, charter coordination or dispatch, FARs, aviation scheduling/dispatch systems, FBO operations, or other aviation-related work will set you apart but is not required. We are willing to train the right person. Strong organization, customer service experience, professionalism, and the ability to learn are essential.
