Full Job Description

Office Administrator

Location: Mulberry, FL

Employment Type: Full-Time

Nelpro Project Solutions is recruiting on behalf of an established industrial painting and coatings contractor seeking an experienced Office Administrator. This role is ideal for someone who is highly organized, detail-oriented, and has experience in a construction or industrial services environment.

Responsibilities

Answer incoming phone calls and emails professionally.
Manage accounts payable and accounts receivable.
Prepare customer invoices and process vendor bills.
Maintain accurate financial records using QuickBooks.
Reconcile accounts and assist with basic bookkeeping.
Coordinate schedules with project managers, field personnel, vendors, and customers.
Create and track purchase orders, work orders, and project documentation.
Collect employee timesheets and assist with payroll administration.
Maintain organized electronic and paper filing systems.
Order office and project supplies.
Provide administrative support to company leadership.
Assist with general office operations and special projects as needed.

Qualifications

Minimum of 2 years of QuickBooks experience desired.
Previous office administration, bookkeeping, or accounting experience.
Experience in the construction, industrial, or painting industry is strongly preferred.
Proficiency with Microsoft Office, including Excel, Outlook, and Word.
Experience with employee timekeeping, payroll administration, onboarding, human resources, and other office administrative functions is a plus.
Strong organizational skills and attention to detail.
Excellent written and verbal communication skills.
Ability to manage multiple priorities in a fast-paced environment.
Professional, dependable, and customer-focused.
