Full Job Description

Job Title: Accounting/Finance Specialist

Work Hours : 7:00a.m.-4:30p.m. Monday-Friday

Employee Benefit: (7) Paid Holidays as listed: New Year’s Day, Memorial Day, 4th of July, Labor Day, Veteran’s Day, Thanksgiving Day, Christmas Day

(10) PTO (Accrued Paid Time Off) days to be used at employee’s discretion upon completing their probation period.

Non-Bargaining Health Benefit

Primary Job Function: Responsible for accurate and timely financial reporting. Responsible for maintaining precise accounting processes as described below.

Essential Functions:

Process time cards, process payroll, and maintain payroll records for all employees
Reconciliation and timely tax deposits and other payroll tax liabilities (weekly, quarterly, and annually)
Reconcile, file, record, and pay quarterly taxes
Prepare, reconcile, file, adjust liabilities, and pay all Union Remittance(s) to signatory union contracts
Maintain taxable sales, execute sales tax exemption certificates for specific projects, and manage tax credits
Establish, maintain, and quote business insurance annually, general liability, worker’s compensation, health insurance (non-bargaining employee’s), life insurance for company and officer(s), execute NCCI credit, maintain insurance credits, execute certificates of insurance, fleet insurance, etc… Manage worker’s compensation claims with provider, OSHA logs, and associated parties
Administer non-bargaining employee’s Simple IRA
Reconcile all Accounts Payable and Notes Payable, process payments, and maintain vendor communication and relationships and excellent credit standing as instructed.
Maintain and reconcile purchase order log system within operating company
Multiple Company Transactions and Reconciliations (Managing and operating QuickBooks for multiple companies under main operating company)
Fleet Logs: maintenance logs, DOT requirements, title/registrations, annual licenses, insurance,
Maintain, schedule and comply with all employee and owner training, certificates, licenses, etc.…as required.
Create, audit, and maintain all vendor accounts
Maintain, establish, and communicate financial status and records to Bonding Companies for Commercial Projects
Create and Administer Monthly safety meetings
Administer and log work conditions as required for IMSHA site projects.
Asset Management for all equipment, fleet, and tool, purchases
Execute annual corporate reports for State of Illinois
Maintain, create, and reconcile credit accounts for multiple companies and vendors
Annually execute PCI Compliance
Create semi-annually Personal Financial Statements for owner(s)
Execute credit application(s)
Reconcile multiple bank account and maintain reconciliations
Establish and maintain bank account(s)
Reconcile, maintain, and audit State of Illinois Unemployment claims and records
Prepare letters, marketing, and spreadsheets as required/requested
Maintain and execute all company digital devices
Maintain and create “project” specific job log and timesheet log(s) as required
Creation and audit of Certified Payroll
Provide monthly and weekly reports to Management as requested.
Assist or create correspondence to vendors and customers as requested
Create sales reports weekly and at month’s end as directed
Maintain Digital Filing System/Shared Data Folder
Annual, monthly, and quarterly Budget Origination and Reconciliation
Cash Flow Analysis Reporting
Other duties as assigned or reorganized
