Full Job Description

Location: Hybrid position supporting our offices in Murrieta, CA and Riverside, CA.

This role offers a combination of remote work and in-office collaboration; however, regular in-person work at our Murrieta office is required. Candidates must reside within a reasonable commuting distance of Murrieta, CA and be available and willing to work on-site as business needs require.

This position may also require occasional work from our Riverside, CA office for meetings, training, projects, coverage, or other business needs. Candidates should be comfortable commuting between both locations when necessary.

While remote work flexibility is part of this hybrid role, candidates should expect regular in-person collaboration and understand that the needs of the business will determine when on-site attendance is required.

Compensation: $38–$40 per hour, depending on experience.

Are you someone who thrives in a fast-paced environment, loves variety, and enjoys being at the center of growing businesses? We're looking for a highly organized, detail-oriented, and proactive Executive Assistant / Marketing & Appointment Coordinator to play a critical role in supporting company leadership, driving lead management efforts, and assisting with marketing and operational initiatives.

This position will provide support across two affiliated businesses, working closely with shared leadership and team members to help keep priorities, customer communication, marketing initiatives, and day-to-day operations moving forward. Responsibilities may shift between the two businesses based on current priorities and business needs, so adaptability, organization, and the ability to manage multiple workflows are essential.

This is not a traditional administrative assistant position. While executive support is an important component of the role, this opportunity is ideal for someone who enjoys wearing multiple hats, taking ownership of projects, solving problems, and contributing across several areas of the businesses.

On any given day, you may be coordinating executive priorities for one business, following up with prospective customers for another, helping execute marketing initiatives, improving internal processes, supporting special projects, assisting with day-to-day office needs, or helping optimize the customer experience.

The ideal candidate is exceptionally organized, highly detail-oriented, and naturally proactive. They are comfortable managing multiple priorities across two businesses simultaneously, communicating professionally with customers and team members, and ensuring that nothing falls through the cracks.

Success in this role requires strong communication skills, outstanding time management, adaptability, a hands-on mindset, and a genuine desire to help growing organizations operate more efficiently.

Key ResponsibilitiesExecutive & Administrative Support

Provide executive and administrative support across two affiliated businesses.
Manage executive calendars, appointments, and scheduling.
Coordinate meetings, prepare agendas, and track action items.
Organize documents, reports, and company records for both businesses.
Coordinate travel arrangements and logistics when needed.
Support leadership with special projects and administrative tasks.
Create and maintain operating procedures and internal documentation.
Help prioritize and coordinate responsibilities between both businesses based on leadership direction and current business needs.
Assist in identifying process improvements to increase efficiency and organization across both companies.

Appointment Setting & Lead Management

Respond promptly to inbound leads via phone, text, email, and social media for both businesses.
Qualify prospects based on each company's criteria.
Schedule appointments for the appropriate sales team.
Confirm appointments and manage rescheduling requests.
Maintain accurate records within applicable CRM systems.
Follow up with unresponsive leads and nurture prospects.
Track lead-to-appointment conversion metrics.
Support customer communication throughout the sales process.
Help improve lead follow-up processes and customer experience initiatives.

Marketing Support

Assist with marketing activities and initiatives across both businesses.
Assist with social media scheduling and content posting.
Help manage online reviews and customer testimonials.
Support content creation, including emails, blogs, social posts, and promotional materials.
Coordinate with vendors, designers, and marketing partners.
Assist with event planning and coordination.
Support marketing campaigns and help track campaign performance.
Contribute ideas and recommendations to improve marketing effectiveness and customer engagement.

Office & Operations Support

As a hands-on member of a growing team, this role may also assist with general office organization and day-to-day operational needs for both businesses, including:

Help maintain organized, professional, and welcoming office environments.
Assist with organizing supplies, materials, workspaces, and common areas.
Help prepare offices for meetings, visitors, events, or team activities.
Perform occasional light office upkeep as needed, such as sweeping, mopping, tidying common areas, or other basic tasks that help maintain a clean and professional workspace.
Assist with other reasonable office and operational tasks as business needs arise.

Additional Role Expectations

Because this position supports two businesses and two office locations, flexibility and adaptability are important components of the role. Priorities may change based on lead volume, marketing initiatives, executive needs, special projects, and the day-to-day needs of each business.

The successful candidate will be comfortable transitioning between responsibilities, maintaining organization across multiple workflows, and proactively identifying where their support is most needed. While responsibilities will be clearly communicated and prioritized, this role is best suited for someone who enjoys variety and is comfortable working in a dynamic, growing business environment.

Pay: $38.00 - $40.00 per hour
