Overview

We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, serve as the first point of contact for visitors and clients, and ensure smooth administrative flow throughout the office.

Responsibilities

Greet visitors, clients, and vendors warmly, providing exceptional customer service and ensuring a positive first impression
Manage multi-line phone systems, screen calls, and direct inquiries to appropriate team members with professionalism and courtesy
Handle data entry tasks accurately using productivity software such as Microsoft Office, Google Workspace, Teams and spreadsheets
Maintain organized filing systems, including digital and physical documents, ensuring easy retrieval of information
Schedule appointments, manage calendars, and coordinate meetings using calendar management tools
Post on all social media outlets.
Support client communication efforts through phone conversations, email correspondence, and proofreading of documents

Skills

Proficiency in Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), and other productivity software
Strong computer literacy with excellent typing speed and data entry accuracy
Experience with multi-line phone systems and phone etiquette to handle high-volume calls efficiently
Bilingual abilities are highly valued for effective communication with diverse clients and visitors
Knowledge of office management procedures including filing, scheduling, and record keeping
Customer service skills that foster positive interactions with clients and visitors at the front desk
Organizational skills to prioritize tasks effectively while managing multiple responsibilities simultaneously
Previous experience in administrative roles such as medical or dental receptionist or personal assistant is advantageous
Familiarity with clerical tasks like proofreading, document formatting, and calendar management
Technical proficiency in bookkeeping software like QuickBooks or similar tools is a plus
