Job Title: Bilingual Legal Receptionist

About the Role

We are an established Criminal Defense and Personal Injury law firm seeking a reliable, empathetic, and organized Bilingual Receptionist to join our team! As the first face and voice of our firm, you will play a crucial role in welcoming clients, managing incoming calls, gathering basic case details, and handling initial client intakes during our busiest office hours.

No prior legal or office experience is required—we provide full, hands-on training for the right candidate who brings a strong work ethic, great communication skills, and a professional demeanor!

Key Responsibilities

Client Intake & Greeting: Warmly welcome clients visiting our office and conduct initial intake calls for potential criminal defense and personal injury cases.
Public Record & Case Lookup: Gather essential client information and verify case details or court records using public online databases.
Call Management: Answer, screen, and route high-volume incoming calls professionally across multiple phone lines.
Scheduling & Calendar Management: Coordinate and schedule client consults, court check-ins, and appointments for our legal team.
Confidentiality & Care: Handle sensitive legal details and client information with absolute discretion, professionalism, and empathy.
Administrative Support: Assist with scanning, filing, sorting mail, and keeping the front reception area clean and organized.

Qualifications & Skills

Languages: Fluency in English and Spanish is required (written and verbal). Proficiency in additional languages is a major plus!
Schedule: Core hours needed during peak day shifts (approximately 9:00 AM – 4:00 PM, exact hours discussed during interview).
Communication & Empathy: Strong interpersonal skills with the ability to remain calm, respectful, and reassuring to clients navigating stressful legal situations.
Multitasking: Ability to prioritize tasks effectively in a fast-paced environment while balancing phone calls, web lookups, and in-person foot traffic.
Tech-Savvy: Comfortable using basic computer programs, searching online databases/websites, and learning new scheduling systems.

Officer Hours: Schedule is Monday to Friday. The office is closed on all major holidays and usually on the same days as the Collier County Courts are closed.
